About the Role

This role provides administrative and operational support to the Compliance Team within Property Services, ensuring that statutory compliance activities are effectively managed, monitored, and reported. The postholder is responsible for maintaining accurate compliance records, coordinating information between contractors and internal teams, producing performance reports and data analysis, and supporting regulatory compliance processes.

Key duties

  • Managing compliance databases and certification records
  • Compiling KPI and Tenant Satisfaction Measure reports
  • Administering contractor orders and invoices
  • Supporting budget planning
  • Overseeing compliance-related communications such as inbox management and no-access procedures

The role also involves working closely with contractors, residents, and colleagues to ensure compliance workstreams are delivered efficiently and customer needs are met.

Additional responsibilities

In addition, the postholder contributes to service improvement initiatives, promotes excellent customer service, ensures compliance with GDPR, safeguarding, equality and diversity requirements, and supports the team's health and safety responsibilities. Success in the role requires strong organisational, communication, data management, and stakeholder engagement skills, alongside a commitment to continuous improvement and regulatory compliance.

Essential skills and experience

This role requires strong administrative, organisational, and data management skills to maintain compliance records, coordinate contractors, and support regulatory compliance activities. The successful candidate should be proficient in data analysis, reporting, KPI monitoring, and Microsoft Excel, with the ability to produce accurate reports and identify trends. Excellent communication and customer service skills are essential for liaising with residents, contractors, and colleagues, explaining technical information clearly, and managing enquiries professionally. The role also requires experience in financial administration, including raising works orders, checking invoices, and supporting budget planning. Candidates should demonstrate strong attention to detail, the ability to manage multiple priorities, and a collaborative approach to teamwork. Knowledge of GDPR, safeguarding, health and safety, and compliance processes is important, alongside a proactive mindset focused on service improvement and continuous development.

Future of the Council

From April 2027, Guildford Borough Council and Waverley Borough Council will become part of the new West Surrey unitary council, following the government's confirmed plans for local government reorganisation across Surrey. This change will see the current twelve councils replaced by two new authorities, East Surrey and West Surrey, with West Surrey taking responsibility for the areas currently served by Guildford, Waverley, Runnymede, Spelthorne, Surrey Heath and Woking. As we move towards this transition, our focus remains firmly on delivering high-quality, value-for-money services and staying true to our shared organisational values of Collaboration, Wellbeing, Trusted, Value for Money and Professionalism.

We recognise that any period of organisational change can bring questions, particularly regarding future structures and working arrangements. Throughout this process, we are committed to supporting our colleagues with transparency and care prioritising wellbeing, maintaining a trusted and open dialogue, and ensuring continued access to learning and professional development opportunities. While the exact shape of the new West Surrey Council beyond 2027 is still being developed, joining us now means becoming part of an organisation where collaboration thrives and where your contribution will directly influence one of the most significant local government transformations in decades. You'll gain valuable experience, play an active role in shaping the future of public services across West Surrey, and work within a team committed to professionalism and delivering outstanding outcomes for our communities. Together, we will ensure a smooth transition and continue to deliver exceptional services for residents both now and into the future.

In return for your valued contribution, we offer a competitive benefits package which includes:

  • Hybrid and agile working policies
  • Training and development opportunities including apprenticeships
  • Generous annual leave and flexi time
  • An employee assistance programme
  • Membership of the Local Government Pension Scheme
