About the Role
Are you a natural organiser with a knack for keeping teams aligned and projects on track? At Wavenet, we’re looking for a proactive Portfolio Co-Ordinator to support the successful management of our growing product portfolio.
In this pivotal role, you’ll act as the glue between cross-functional teams—coordinating activity, tracking progress, and ensuring smooth communication. While you won’t be responsible for delivering projects directly, your input will be essential in helping the business maintain a consistent, structured, and high-quality approach to product management.
If you thrive in a fast-paced environment, enjoy working with diverse teams, and love creating order from complexity, this could be your next big opportunity.
What You’ll Be Doing
- Support and coordinate product lifecycle activities across teams including Product Management, Pre-Sales, Sales, and Marketing.
- Track product development progress and ensure key milestones are met using our Product Lifecycle Management (PLM) process.
- Schedule and coordinate Product Board meetings—set agendas, take minutes, track actions, and ensure visibility across the business.
- Maintain accurate and centralised documentation on SharePoint, including checklists, meeting notes, and consultation records.
- Drive consistency by ensuring product documentation (Fact Sheets, Service Descriptions, Operational Handbooks) meets required standards and templates.
- Help manage Wavenet’s Sales Hub, keeping sales enablement resources and documentation organised, current, and accessible.
- Coordinate and publish Wavenet’s "WTF" sales enablement training programme, managing diaries, sessions, and recordings.
- Identify process improvements to boost efficiency and collaboration across portfolio operations.
What You’ll Bring to the Role
As the ideal Portfolio Co-Ordinator, you’ll bring a unique blend of organisational strength, clear communication, and collaborative energy. You’ll be the type of person who thrives on structure but isn’t afraid to get creative when it comes to finding solutions or improving processes.
Your ability to prioritise tasks, manage timelines, and communicate expectations will help keep cross-functional teams aligned and focused. Whether it’s coordinating product launches, maintaining essential documentation, or liaising with stakeholders across sales, operations, engineering, and service teams—you’ll make sure everyone has what they need, when they need it.
You’ll also bring:
- Exceptional organisational skills and a meticulous eye for detail.
- Confident communication skills—both written and verbal—essential for engaging with stakeholders at all levels.
- A proactive, can-do attitude, with the initiative to streamline processes and introduce improvements.
- The ability to build strong working relationships across departments and levels of seniority.
- Adaptability and a calm approach when dealing with multiple projects, teams, and deadlines.
- A solid understanding of IT, voice, and cybersecurity technologies, with knowledge gained through both training and hands-on experience.
- Experience using document management tools like SharePoint.
- A clear grasp of the customer journey, ensuring internal teams are equipped to deliver a consistent and positive experience when products are launched or retired.
- A thoughtful balance of analytical thinking and creative problem-solving, helping to shape how our portfolio is understood and used by the wider business.
If you’re driven by clarity, enjoy making things run smoothly, and love working with a wide range of people, you’ll thrive in this role.
