Wave Group operates across three divisions — Wave Talent (recruitment), WaveWorks (consulting), and Wave Mind (AI-assisted hiring platform) — with entities across UK, UAE, and US. We're scaling fast, and we need someone who takes genuine pride in keeping operations running without friction.
THE ROLE
You sit at the intersection of finance and delivery — owning AR, contractor compliance, timesheet coordination, billing support, and the operational administration the business depends on. You'll use Mothership, Claude, and Wave Chat as primary working tools. AI handles the production layer. Your job is the judgement, the relationships, and the follow-through that makes operational administration reliable rather than reactive.
FINANCE OPERATIONS & AR
- Own accounts receivable across all divisions — invoice production, distribution, and systematic chasing
- Run a tiered AR chaser sequence; manage escalation judgement when clients push back or go overdue
- Process and reconcile expenses via Dext
- Support month-end close and maintain the financial compliance tracker
CONTRACTOR ONBOARDING & COMPLIANCE
- Own contractor onboarding end-to-end: right-to-work verification, document collection, system setup across Bullhorn and Timesheet Portal
- Maintain the compliance tracker — expiry dates, renewal triggers, proactive outreach before documents lapse
- Send professional, Wave-standard onboarding communications to every new contractor
TIMESHEET COORDINATION
- Own the full timesheet cycle — chasing submissions, flagging discrepancies, coordinating approvals
- Ensure payroll inputs are accurate and on time, every week
- Maintain a live view of completion rates and flag persistent non-compliance
DELIVERY OPERATIONS
- Support placement administration, extension processing, and engagement coordination across Wave Talent and WaveWorks
- Maintain Bullhorn records to a high standard of completeness
- Assist with WaveWorks milestone tracking and billing coordination

- 3+ years in finance operations, delivery coordination, or professional services administration
