Administrative Assistant – Waste Services Location: Rugby Salary: c.£26,000 per annum Hours: 37.5 hours per week Contract: Temporary We are currently recruiting for an Administrative Assistant to join our clients Waste Services team. This is a varied and important administrative role, providing day-to-day clerical and operational support to the Waste Services Team Manager and wider WSU Management Team. The successful candidate will help ensure the smooth running of the waste service by maintaining accurate records, supporting operational reporting, coordinating documentation and providing an effective first point of contact for staff, customers and stakeholders. The Role Working within a busy operational environment, you will provide a broad range of administrative support across refuse, recycling and garden waste services. Your responsibilities will include: * Providing frontline administrative support to daily waste operations. * Managing reception duties, including booking visitors in and out and ensuring visitors are aware of depot Health & Safety procedures. * Preparing operational reports, waste volume information and compliance documentation. * Recording accurate crew completion times and allocating assistance where required. * Distributing incoming mail across relevant teams and ensuring appropriate response times and information are recorded. * Preparing management reports, briefing notes, correspondence and daily paperwork for operational crews. * Recording and issuing daily work allocations. * Providing excellent customer service via telephone and email, responding to queries from crews, the Contact Centre, Councillors and members of the public. * Managing the weighbridge system, including issuing relevant paperwork and reports and setting up or amending vehicle records. * Maintaining accurate records and ensuring paperwork is stored in accordance with legal and organisational requirements. * Recording stock allocations and replenishment, including PPE, while monitoring excessive distribution. About You We are looking for an organised and reliable administrator who is comfortable working in a busy operational environment and can manage multiple priorities while maintaining a high level of accuracy. You will ideally have: * Previous experience in an administrative, office support or operational coordination role. * Strong organisational skills and excellent attention to detail. * Good written and verbal communication skills. * The ability to deal confidently and professionally with colleagues, customers and members of the public. * Good IT skills and confidence working with electronic systems, databases and Microsoft Office applications. * The ability to maintain accurate records and handle confidential or compliance-related information appropriately. * A proactive approach, with the ability to work independently and as part of a wider team. * The ability to prioritise workloads and meet deadlines in a busy operational environment. * An understanding of Health & Safety requirements and the importance of following established procedures. Experience within waste management, local authority services, transport, logistics or another operational environment would be advantageous, although not essential. Why Join?
