KEY ROLES & RESPONSIBILITIES
- Onboarding
- Own the onboarding process for new employees, from accepting their offer to their first day including being their main point of contact before joining, handling new hire emails, liaising with IT for hardware and system access, performing right to work checks, conducting induction and obtaining feedback.
- Ensure efficient access to information regarding working at The.Team including where to find information on the people team, IT, immigration, time off, benefits, payroll, offices, etc.
- Deliver clear information to managers regarding onboarding their new employees.
- Manage contracting such as new employee contracts and contract amendments and changes.
- Support the business with onboarding contingent workers, including contracting and email setup.
- Ensure employee files are complete and accurate data is in Workday.
- Employee Support
- Provide responsive and professional first line support for the business, answering employee queries and escalating/directing to other team members as needed.
- Handle all contract amendments, reference requests, immigration letters, etc.
- Optimise the way employee information is accessed by employees to promote self-service.
- Mobility and Right to Work
- Monitor visa expiry dates and liaise with the people partnering team regarding renewals.
- Assist with mobility cases with our immigration firm as needed, keeping on top of deadlines and proactively engaging with parties for timely outcomes for both new visas and renewals.
- Ensure right to work verifications are correctly completed, filed and reverified when needed.
- Data
- Process employee changes in Workday, ensure data accuracy in the system and support employee data auditing.
- Ensure HR documentation is kept confidential and accurately up-to-date.
- Ensure all HR filing is completed in a timely and organised manner and documents are in the correct locations.
- Assist with reporting as necessary.
- Other Items
- Assist the larger People Operations Team with benefits and payroll administration.
- Manage the People Team Calendar in Outlook.
- Support the automation and documentation of People Operations processes to improve efficiency.
- General
- Cross train to be able to handle UK onboarding, support, mobility and data as needed.
- Support with ad hoc projects and administrative tasks.
- Actively contribute to a culture of continual improvement, making recommendations and using initiative to ensure best in class People Operations delivery.
