Job Purpose:
To maintain an effective and accurate Training Administration System and provide trainers and senior staff with standard and bespoke reports.
Main Responsibilities:
- Work with Trainers, Duties, Staff, and Officers at all levels to ensure requests for training updates, cancellations, and skill updates are handled within agreed service levels.
- Update and maintain the Training Administration Database with course availability, delegate bookings, and attendance. Update Origin with skills gained or canceled. Create courses on TAS, create events, add delegates, and send Joining Instructions promptly.
- Maintain a customer service ethos in delivering Learning Support services and keep stakeholders continually informed.
- Book delegates onto courses and programs in coordination with HR, Duties, and external customers such as Universities. Procure and receipt external training and services like accommodation and travel using various software, including the forces\’ financial system.
- Liaise with financial staff, external Police Forces, and the College of Policing regarding queries related to external course bookings and payments.
- Provide trainers with accurate and timely information about course and classroom availability, delegate bookings, attendance, and non-attendance.
- Offer effective support when requested by L&D Trainers concerning Course Administration, storage, and participation in Course Role Play for new Officer training programs.
- Administer the NIE program, including registration and application processes. Use the CoP AIMS Portal to review applications, validate, sift, and allocate candidates to exams. Ensure candidates requiring reasonable adjustments are processed according to CoP requirements. Communicate results to the program manager.
- Regularly review and amend joining instructions for accuracy, ensuring delegates are notified of any changes.
- Produce monthly Orbit reports for auditing the TAS system to ensure training data accuracy. Generate bespoke reports on training information as requested by senior staff or trainers.
- Undertake other duties appropriate to the role, including cover for colleagues, as required.

Person Specification:
Knowledge:
- Educated to GCSE standard (5 A – C including English Language and Maths)
- Proficient in IT, including Microsoft packages or equivalent
Experience:
- Experience in Learning Support Services or similar customer-facing role in a pressurized office environment
- Experience using databases
- Strong organizational and prioritization skills
