Warter Priory Estate are seeking a motivated, proactive and organised individual with good customer service and administrative skills, who will be responsible for communication both internally and externally across the Estate departments to assist with the smooth day to day running of the Estate. Within the role, the candidate will oversee and take a lead on a wide range of general administrative duties. The successful candidate must have a good telephone manner, be competent with Microsoft Office, be able to prioritise work and work on their own initiative as well as being part of a team, and be able to communicate internally and externally in a positive and professional manner.
The role and responsibilities:
- Handling telephone enquiries, recording messages accurately and dealing with emails.
- Typing of letters, emails and reports.
- Email and diary management for Heads of Departments.
- Interaction with all departments to remain up to date with activity across the Estate.
- Opening and distribution of incoming post; delivering outgoing post to local post office.
- Providing HR support to the departments; to include organising inductions, staff training, assisting with recruitment and monitoring annual leave.
- Managing the Estate vehicles MOT and servicing.
- Quote sourcing and product ordering for the departments.
- Liaising with utility providers in respect of tenancy handovers.
- Organising fire safety and health and safety checks.
- Dealing with incoming invoices for processing.
- Greeting visitors, managing meeting rooms, arranging refreshments and catering.
- Attending meetings when required and taking accurate minutes.
- Providing office cover for other tasks, including payroll and payment processing.
- Any other duties as and when required.
The skills we are looking for in you:
- Professional telephone manner and excellent customer service skills.
- Good general knowledge of Microsoft Office, specifically Word, Excel, PowerPoint, Outlook, SharePoint, Planner, OneDrive and Dropbox. Advanced Excel skills would be an advantage.
- Experience of Gatekeeper and Connecteam would be advantageous but not essential. Training will be provided if necessary.
- Organised with a proactive and problem-solving approach to tasks.
- Good standard of written English language.
- Good level of numeracy, accuracy, and attention to detail.
- Ability to work as an individual, manage time and prioritise work.
- Ability to remain calm under pressure.
- Ability to grasp new technologies.
- Interpersonal skills ability to communicate with people at all levels and members of the wider Estate team.
- Possess a generally positive outlook and enjoy working within a close team.
- Honesty and a high level of integrity.
- Systematic and cheerful approach with a can do attitude.
- Awareness of confidentiality essential.
