Warrengate Medical Centre is a busy and friendly town‑centre Doctors surgery providing a full range of NHS services to a list size of more than 11,500 patients. We are a high achieving training Practice with an excellent reputation situated in the Centre of Wakefield close to transport links and local amenities. We are committed to maintaining a high standard of patient care and customer service in a friendly and professional environment and we are currently looking for a part‑time Practice Administrator to join our friendly team. This is a permanent position. The working patterns required are detailed below, however flexibility is required for covering annual leave and sickness absences.

Tuesday: 10.00am - 6.30pm
Thursday: 8.00am - 4.30pm

Main duties of the job

The successful candidate will be experienced in delivering excellent customer service, maintaining professionalism, discretion and confidentiality at all times, and able to work well under pressure both independently and as part of a team. They will need to have excellent communication and organisational skills, together with a caring and solution‑focused approach to patient related problems. The main duties will include answering phones and dealing with patients face‑to‑face, navigating patients to the most appropriate person/service to help, dealing with repeat prescriptions, scanning, and managing patient‑related tasks as directed by the Practice team. The candidate should be able to remain calm in difficult situations as well as having the initiative to identify outstanding workload and support the team in completing this. Flexibility to cover colleagues’ annual leave and sickness is essential. Full training will be given but medical administration and receptionist experience in a similar environment would be advantageous.

Job responsibilities

Duties will include, but are not limited to:

  • Booking appointments for patients following car navigation, ensuring patients access the most appropriate services within the practice
  • Scanning and workflowing incoming correspondence within the clinical system
  • Dealing with general enquiries from patients and prioritising the management of these
  • Dealing with repeat prescription orders and prescription queries
  • Managing your time and workload efficiently
  • Assisting with the smooth running of clinics and surgeries
  • Providing help and advice to all visitors to the surgery and the building
  • Registration of new patients to the Practice
  • Processing patient change of address and contact details within the clinical system
  • Dealing with tasks that clinicians may assign to you in an effective and timely manner
  • Covering colleagues’ shifts in the event of sickness or annual leave
  • Effective communication between staff, the practice, patients and other agencies
  • Understanding and implementing the practice protocols and procedures
  • Carrying out the daily tasks set for you by the Office Manager
  • Attending training and staff meetings as required
  • Supporting with other reasonable duties as required
  • Following the practice’s Infection Prevention & Control policies and protocols

Person Specification

Experience

  • Relevant experience of working within a busy office environment
  • Experience of working within the NHS
  • Experience using SystmOne

Skills and Qualities

  • Competent user of the Microsoft Office Suite (Word, Excel, and Outlook)
  • Deal with confidential matters in a sensitive way
  • File documents in logical format
  • Prioritise and work on a number of different tasks simultaneously
  • Excellent communication skills (both written and oral)
  • Willingness to undertake a wide range of duties

Qualifications

  • 5 GCSEs, or equivalent (inc Maths and English)
  • Evidence of a commitment to continuing professional development
  • RSA Stage I or II typing and/or Word Processing or equivalent

£12.71 an hour with potential to increase following successful probation period.
