You will be part of a core in‑house Facilities team, supporting approximately 800 members of staff across two buildings in West London (Kensington).

Responsibilities

  • Supervise, train, motivate, and appraise the staff in the front of house and mailroom teams, and proactively review their roles on a regular basis.
  • Manage and serve as the first point of contact for Warner Music's outsourced service providers, including overseeing the re‑tendering process for these services (Cleaning, Catering, Fire Safety, Events, Planting, Waste & Recycling, DSE and external Health & Safety Auditing).
  • Coordinate and record monthly service partner meetings, ensuring service levels/KPI’s are maintained at a high level and escalating failings in service provision to the head of the Facilities team when appropriate.
  • Manage any internal events held in our Bar or event‑space.
  • Purchase and stock‑control consumables (stationery & drinks), raise supplier purchase orders, check and code invoices, query incorrect invoices with suppliers, and obtain credit notes where appropriate.
  • Ensure staff health & safety at all sites, including DSE, First Aid, Fire Evacuation safety, new‑starter inductions, expectant mother risk assessments, building signage and notices, and review and close‑off actions from external audit reports.
  • Lead and implement environmental/green facilities‑related initiatives.
  • Forecast budget spend within your areas of responsibility.

Qualifications

  • At least five years of experience within the facilities environment, including at least two years at a Facilities Coordinator level or higher.
  • Health & Safety qualifications at IOSH Level 2 or higher.
  • Exceptional customer‑care orientation.
  • Proficient in Windows, Microsoft Office Suite, and Google applications.
  • Strong managerial experience and excellent interpersonal and communication skills.
  • Proactive, conscientious, with a keen eye for detail.
  • Exceptional time‑management skills and ability to work under pressure to meet tight deadlines across multiple projects.

Preferred

  • Two or more years of management experience in facilities services.
  • A proactive outlook with regards to implementing new ideas and systems to improve the workplace environment and daily processes.
