A little bit about our team: You will be part of a core in-house Facilities team, supporting approximately 800 members of staff across two buildings in West London (Kensington).
Your role: This is a truly varied logistics role centred around the provision of a highly professional level of service including distributing post, portering, couriers, supply of stationery and ensuring that the facilities required by colleagues are available and they are supported seamlessly. This role is suitable for a professional and positive mail room operative who understands the value of customer service and the difference that this can make to their colleagues. Working with people at all levels in a fast-paced dynamic environment and part of a focused and dynamic team, this multi-skilled role provides an exciting opportunity to make a difference at Warner Music. This position will require being in the office 5 days a week. We believe that an in-office presence is critical for talent development, collaboration and building strong relationships.
Here you’ll get to:
- Receiving and recording both incoming and outgoing deliveries, sorting and delivering as required.
- Sorting and collection of outgoing mail and liaison with shipping vendors as and when necessary.
- Managing reception and front of house, ensuring a tidy and presentable entrance.
- Ensuring all shipments are tracked to successful delivery.
- Assist internal communications and marketing carrying out literature, merchandise desk drops in our buildings.
- Facilitate courier requests throughout the day prioritising urgent bookings.
- Monitor stationery levels in cupboards and replenish/reorder as required.
- Replenish and monitor stock levels in tea-points. Replenish coffee beans and milk in coffee machines throughout the day.
- Replenish First Aid boxes and report back to the Facilities Helpdesk if they are running low.
- Set up meeting rooms as requested.
- Event set-up as required and assisting with meeting room AV support where required.
- Assist with small moves and changes across London sites.
- Any other duties as required from time to time commensurate with the experience, knowledge, skills and responsibilities of the post.
- Support in running fire drills.
- Managing incoming phone calls in a friendly and professional manner (Screening, taking messages, etc.).
- Maintaining and upkeep of UK wide phone list.
- Manage building wide artwork inventory.
About you: Computer literacy, including a good working knowledge of Google Docs, Mail, and Calendars is essential. Confident in creating, using and updating spreadsheet regularly. Effective communication skills on the telephone, via email and face to face. Ability to provide routine oral and written information clearly and concisely, with excellent attention to detail. Ability to build positive working relationships with internal and external clients at all levels. Proven track record of working in a customer facing environment is essential.
