You are not just an assistant; you are the strategic lynchpin directly supporting the EVP Atlantic UK and the EVP, AMG. You will be the executive gatekeeper and organisational force, ensuring that two senior leaders operate with maximum efficiency, whether they are in the London office or overseas. This is a fast-paced, high-stakes, and diverse role that demands a confident communicator, first-class organisational manager, and a professional who instinctively stays one step ahead of every situation. Here you’ll get to:

  • Complex Calendar Management: Expertly manage a highly dynamic and business-critical calendar for two senior leaders, prioritising engagements, proactively resolving conflicts, and executing immediate adjustments as business demands shift.
  • Global Travel & Logistics: Lead the end-to-end management for complex domestic and international travel. This includes securing travel and accommodation, creating comprehensive itineraries, and providing seamless remote support to ensure executive schedules remain flawless while abroad.
  • Financial Gatekeeping: Take ownership of expense processing and reconciliation (utilising Concur), ensuring timely submission, accuracy, and full compliance with all corporate T&E policies.
  • Meeting Preparation: Prepare high-level meeting agendas, conduct essential research to inform discussions, compile critical intelligence packages, and capture actionable, accurate notes from strategic sessions.
  • Information Flow: Be the central point for all internal and external executive queries and correspondence, maintaining impeccable administrative records, correspondence.
  • Platform Maintenance: Perform crucial system administration across key platforms (Concur, Sprinter, Airtable) to ensure data integrity and operational fluency.
  • Project Support: Provide agile, ad hoc support on high-priority business needs, including drafting impactful presentations, managing confidential file transfers, and proactively chasing and compiling intelligence for critical Artist SWAT and weekly chart meetings.
  • Access Management: Collaborate closely with the Artist Relations team to swiftly manage VIP ticket orders and secure essential AAA passes (All-Access Accreditation) for executive attendance at high-profile gigs and events.
  • Client Ambassador: Professionally meet, greet, and manage all external clients.
  • Hospitality Oversight: Oversee all hospitality needs, arranging refreshments and ordering catering for executive meetings and special label events.
  • Gifting: Coordinate and procure bespoke gifts for artists and staff to celebrate milestones and strengthen professional relationships.

  • Global Fluency & Time zone Management: A robust understanding of the global music marketplace, with proven experience engaging with US-based players and time zones. You possess the capability to manage complex scheduling that seamlessly bridges the UK and US operational hours.
  • Record Making Process Acumen: You possess foundational knowledge and familiarity with the end-to-end record making process, including understanding the logistics of sessions, studios, mixing, mastering, and asset deliverables.
  • Music Marketing Awareness: A basic understanding of music marketing campaign lifecycles and the key stages involved in promoting an artist or release.
  • Exceptional Communication: Articulate, professional, and persuasive communication skills, both written and verbal, capable of engaging confidently with all levels of management, artists, and external partners.
