A little bit about our team:
The Artist Relations, Events and International Promotions team is a busy, fast paced and exciting team that deals with UK ticketing, events, UK and international promo trips, award shows, artist gifts plus lots more! In this role you will report into the Senior Director who reports into the VP. You will organise events, arrange and circulate ticket requests, and support the VP and Senior Director on larger scale events. We work across a wide range of artists, projects and with teams throughout the business.
Your role:
- You will be responsible for organising and managing small events from end to end with all associated admin, plus end to end management and admin for ticket requests for artist shows, tours, festival appearances and award shows, liaising with the relevant labels and central departments. In addition to this, you will support the VP and Senior Director with ad hoc assistance, research and admin for events and artist promo.
Here you’ll get to:
- You will source and run small events and assist senior team members on larger events. This includes research, budgeting, scheduling, attending and managing on the day and working with the labels to realise their vision. The small events we usually run consist of lunches, dinners, playbacks and fan events.
- You will stay across new venues, restaurant openings and trends whilst supplementing your existing knowledge base and contacts, researching venues and suppliers.
- You will circulate gigs and tour dates, coordinate and distribute tickets, liaise with promoters and Warner Music staff at all levels from senior management to interns. Raise purchase orders, set up new suppliers, process invoices and organise tickets and passes for staff and contacts. You will also be required to attend shows when needed.
- Assisting the VP and Senior Director with larger events, undertaking venue research, assisting with processing invoices and raising POs, managing guestlists, helping with budgets, commissioning branding, printing etc and attending where required to help run the event.
- You will take initiative and be proactive within the office, keeping on top of general office and admin duties for yourself and as requested by the VP and Senior Director. Offering to help the wider team when practical to do so.
About you:
- You are experienced in running small events or supporting on large and medium scale events within a fast paced, Agency setting.
- You already have a range of contacts within the industry for printing, production, suppliers and venues.
- You are extremely organised, with good coordination and prioritisation skills, detail-oriented with excellent accuracy.
- You are an excellent communicator, as this role involves communication with staff from all levels of the business and artist teams for both events and tickets.
- You are capable of working well under pressure, and a proactive person who uses initiative.
- You are enthusiastic about the role and a collaborative team player, with the ability to form positive working relationships with colleagues.
- You are passionate about music and events, and willing to attend shows and events, working outside office hours (including weekends) when required.
- You will be computer literate, used to both Mac and PC operating systems and MS Office and Google Suite as well as social media savvy.
- You are prepared to learn new apps and skills relevant to developing Artist Relations, Events and International Promotions.
We’d love it if you also had:
- Previous experience working with talent and artists and their production requirements for performances and appearances.
- Previous experience with ticketing for live events.
- Basic design and video editing skills.
- Previous experience using Airtable.
