About the role
You will be part of a core in‑house facilities team, supporting approximately 800 members of staff across two buildings in West London (Kensington). You will manage the Facilities Coordinator, the in‑house Reception/Front‑of‑house and Mail Room teams, and service partner leads (Catering, Cleaning).
Responsibilities
- Supervise, train, motivate and appraise front‑of‑house and mailroom staff and review their roles regularly.
- Manage the first point of call for Warner Music’s outsourced service providers and oversee the tendering process for these services (cleaning, catering, fire safety, events, plant, waste & recycling, DSE, external health & safety auditing).
- Coordinate and record monthly service partner meetings, ensuring service levels/KPIs are maintained; highlight and escalate failings when appropriate to the head of the Facilities team.
- Manage any internal events held in our bar or event space.
- Purchase & stock control of consumables (stationery & drinks); raise supplier purchase orders, check and code invoices, query incorrect invoices, obtain credit notes where appropriate.
- Lead Staff Health & Safety at all sites, including DSE, first aid, fire evacuation, new starter inductions, expectant mother risk assessments, building signage & notices, reviewing and closing actions from external audit reports.
- Lead and implement environmental/green facilities initiatives.
- Forecast budget spend within your areas of responsibility.
Requirements
- At least five years’ experience in facilities; at least two years at facilities coordinator level or higher.
- Health & Safety qualification at IOSH Level 2 or higher.
- Commitment to delivering exceptional customer care.
- Working knowledge of Windows PCs, the Microsoft Office Suite, and Google applications.
- Strong managerial experience and excellent interpersonal and communication skills.
- Proactive, conscientious with a keen eye for detail.
- Exceptional time‑management skills; able to work under pressure and meet tight deadlines across multiple projects.
Preferred
- Two or more years’ experience in managing facilities services.
- Proactive outlook with implementing new ideas and systems to improve workplace environment and processes.
Work arrangement
This position requires working five days per week in the office. Remote working is not permitted.
