Overview: This role involves working with globally recognised partners such as Lego and Funko to select exclusive ranges, secure first-to-market opportunities, and coordinate launches across global locations. You will also support core product categories including wands, food and souvenirs, focusing on product development, retail trends and enhancing the in-store offer. As a Buying Admin Assistant, you will be a key member of the Buying team, contributing to the delivery of a commercial and engaging product range. Your work will focus on managing the product lifecycle, working with suppliers to manage the critical path and ensure timely product launches.
Responsibilities:
- Maintain sample libraries and filing systems to ensure accurate and up-to-date product records.
- Work with your Buyer to review weekly sales and prepare materials for trade meetings.
- Contribute to trade activity by identifying risks and opportunities, helping to drive commercial actions.
- Chase and consolidate supplier updates on the product critical path, ensuring key milestones are met.
- Develop and maintain supplier relationships, ensuring clear and timely communication.
- Manage activity within the in-house consumer products approval system (e.g., Starlabs).
- Conduct competitor analysis and comp shop research to track pricing and market movement.
- Deliver core buying administration, including purchase order set‑ups, product data and presentations.
- Work with cross‑functional teams to ensure product launches are aligned and delivered on time.
Qualifications:
- Proven experience within a buying, retail or head office environment.
- Understanding of the buying process, including critical path management and trade cycles.
- Strong numerical and analytical skills with attention to detail.
- Proficient in Microsoft Office.
- Experience working with suppliers or managing external relationships.
- Commercial awareness with an interest in retail trends and product development.
- Knowledge of buying systems (e.g., Dynamics) is advantageous but not essential.
- Interest in (or understanding of) the Harry Potter franchise and brand DNA.
Working Pattern: Full‑time role (40 hours per week), Monday to Friday. Flexibility required to meet the evolving needs of the business. Onsite working: This role is advertised as onsite, meaning all working hours and days will be carried out at the place of work.
