As the first point of contact for clients, guests and staff, you'll play a vital role in delivering an exceptional experience, supporting high-profile screenings and events, and helping keep our busy operation running smoothly. Working closely with our Bookings and Producer teams, you'll coordinate reception services across multiple Soho locations, oversee daily front-of-house operations, and manage the flow of physical media with accuracy and professionalism. Your Role Accountabilities...
- Having oversight and responsibility of both the Greek Street and Soho Square reception operations and directly managing the Soho Square Reception Coordinator.
- Having oversight and responsibility of the Runner team at both the Greek Street and Soho Square sites and directly managing the Lead Runner.
- Answering, screening and transferring all calls to the relevant person/department from a busy switchboard, whilst filtering sales calls.
- Access control management through the use of the CCure system as well as physical key management, including tracking the issuing and return of keys and cards and maintaining stock levels of passes, lanyards and card printing supplies.
- Meeting, greeting and directing clients, contractors and visitors correctly by following the security policies of the facility with a welcoming and professional manner.
- Managing all inbound and outbound deliveries via Reception and the loading bay. Maintaining accurate records and following the correct procedures relating to the security and notification of deliveries.
- Booking passenger cars and couriers, maintaining accurate records of these bookings, and passing on accurate billing information.
- Ensuring that the correct and complete handover of information is always maintained between the various front desk personnel, including Security and Runners.
- Ordering and monitoring all of the facility’s stationery requirements. Carry out any additional purchasing activities as requested by facility management or other departments.
- Placing orders for bar stock and liaising with runners to ensure sufficient stock at all times.
- Updating all reception lists, i.e. cutting room occupants and their correct extensions, current productions in the studios, staff phone numbers.
- Be part of the team of Fire Wardens to assist in ensuring the safety of all personnel on site.
- Assisting in the planning and execution of events including occasional evening attendance.
Qualifications & Experiences...
- Excellent communication and interpersonal skills with the ability to create an immediate rapport with a range of contacts.
- Exceptional customer service.
- Computer literate. In particular, very good working knowledge of Microsoft Office (Word, Excel and Outlook).
- Previous experience of managing a switchboard and security passes.
- Good general knowledge of production, post production or screening room facilities desirable.
- Experience of maintaining a security access system.
- Previous customer hosting and event management experience.
- Previous experience of responsibility for purchasing and stock management.
Onsite Working - This role is advertised as Onsite, meaning all working hours and days (regardless of shift pattern) will be carried out at the place of work. Subject to any applicable laws, WBD / your Line Manager reserves the right to change this working agreement, where this is essential to business needs and upon reasonable notice to you.
