We are looking for a proactive and highly organised Team Assistant to support our Executive Committee and manage key aspects of office administration. The ideal candidate will be an exceptional communicator, skilled multitasker, and confident decision-maker who thrives in a fast-paced, professional environment.

Key Responsibilities:

  • Diary and calendar coordination across the wider team, ensuring scheduling conflicts are managed proactively, working closely with myself.
  • Inbox management support, including triaging correspondence, flagging priorities for the team.
  • Travel booking and itinerary management for team members, covering domestic and standard European travel.
  • Meeting logistics, including room bookings, catering coordination and circulating agendas.
  • Office stock and supplies ordering, ensuring the London office is always well-equipped.
  • General office management, including maintaining a clean, organised, and well-functioning workspace.
  • Vendor and facilities liaison for day to day queries and routine purchases.
  • Supporting me with ad hoc tasks.

Person specification:

We are looking for someone with 1–2 years’ experience in an Executive Assistant, Personal Assistant, or office administration role. The successful candidate will be confident in managing complex diaries and coordinating schedules across multiple stakeholders. You will have strong written and verbal communication skills and be able to build positive working relationships with colleagues. Excellent organisational skills and a strong eye for detail are essential for this role. The role requires discretion and the ability to handle sensitive and confidential information appropriately. Strong IT skills, particularly in Microsoft Office 365, are required. We are looking for a proactive self-starter who can anticipate needs and work independently. The ability to thrive in a fast-paced environment and adapt to shifting priorities is important.
