We’re looking for an organised and proactive HR Coordinator to join our HR team. This is a key support role, providing effective coordination and administration across recruitment, induction, employee records, absence reporting and wider HR activity. Working closely with HR Advisors, Payroll, Occupational Health and Factory managers, you’ll play an important part in ensuring the HR function delivers a reliable, accurate and professional service to the business.
Location: Aberlour (with regular travel between Aberlour and Elgin sites)
Hours: Full‑time, 38 hours per week
Working Pattern: Monday to Friday, with flexibility on start and finish times, early finish on a Friday
Duties and Responsibilities
- Recruitment & Induction: Support end‑to‑end recruitment activity, including advertising roles, coordinating shortlisting and arranging interviews. Monitor the applicant tracking system daily and progress candidates through clearance processes. Manage pre‑employment administration, including offers, contracts, right to work checks and onboarding documentation. Coordinate and deliver induction and onboarding activity. Prepare induction documentation and issue induction lists as required. Initiate and follow up 8 and 12 week trial period documentation with Factory managers.
- Employee Relation Support: Support HR Advisors and the HR Business Partner with note‑taking and preparation of outcome letters as required.
- Absence Reporting: Download and prepare monthly long‑term sickness reports to support HR Advisors. Work with the HR team to ensure monthly short‑term absence reports are produced and shared with managers.
- Training Support: Provide administrative and coordination support for training activity as required. Maintain training records on the HR system and issue certificates where applicable.
- HR Administration & Systems: Maintain accurate and up‑to‑date employee records on the HR system, including starters, leavers and internal changes. Prepare and issue weekly and monthly HR reports. Ensure regular and effective communication with Payroll. Assist with issuing employee safety footwear where required.
- Audit & Compliance: Maintain an efficient and accessible HR filing system. Carry out internal HR audits to ensure master documentation is up to date, reporting findings and recommended actions.
- General Support: Handle incoming HR calls and follow up on queries. Support transport list management and communication with relevant parties. Contribute to ad‑hoc tasks and HR projects as required.

- Experience in an HR administration or coordination role (or similar).
- Strong organisational skills with excellent attention to detail.
- Confident using Microsoft Office (Excel, Word and PowerPoint) and HR systems.
- Clear and professional written and verbal communication skills.
- A proactive, reliable and team‑focused approach.
- High levels of integrity and accuracy.
- Willingness to support across a wide range of HR activities.
- Full driving license for the regular travel between Aberlour and Elgin via pool car.
