About the Role

This role will support admin tasks for the Managing Director and PA to Managing Director.

Duties and Responsibilities

  • Obtain quotes for production equipment
  • Maintain log of production related expenditure
  • Obtain quotes and coordinate with external contractors on site
  • Monitor energy use / meter readings & invoices within factories & offices
  • Record all insurance claims and settlements
  • Ensure costings are current and correct
  • Monitor and log all vehicle related issues
  • Manage all residential properties and liaise with residents as required
  • Liaise with shops and contractors regarding any repairs
  • Manage service & maintenance of all security systems
  • General administration duties as required, including managing travel arrangements

Skills / Experience

  • Proficient in Microsoft Office Suite, particularly Excel, with experience creating spreadsheets, managing data, and producing accurate reports to support office operations
  • Highly organized and detail‑oriented, ensuring smooth day‑to‑day administrative processes and accurate documentation
  • Strong communication and interpersonal skills, fostering positive relationships with colleagues, clients, and external partners
  • Skilled at managing multiple priorities, balancing administrative duties, scheduling, and task coordination in a fast‑paced office environment

38 hours per week, office based in Aberlour
