Our client has built an exceptional reputation for delivering technically complex projects across the Data Centre, Defence, and Energy sectors. This opportunity will see you based on a flagship hyperscale data centre development in Acton, providing vital administrative and office support to the on-site delivery team. The Role
As Site Secretary, you'll play a key role in ensuring the smooth day-to-day operation of the project office, acting as the first point of contact for employees, visitors, subcontractors, and clients. You'll provide professional administrative support across the project, helping to coordinate communications, maintain accurate records, manage office facilities, and support the wider site team throughout the construction programme. This is a varied role where no two days are the same, offering the opportunity to become an integral part of a major construction project from the ground up.
Key Responsibilities
- Managing the day-to-day administration of the site office
- Welcoming visitors and maintaining a professional reception environment
- Coordinating meeting rooms, calendars, site communications, and office requirements
- Managing shared inboxes, correspondence, and project administration
- Maintaining accurate site records, registers, and administrative documentation
- Supporting document control, data entry, and reporting activities
- Coordinating office supplies, PPE, stationery, and site consumables
- Liaising with suppliers and support providers to maintain office and welfare facilities
- Providing administrative support to the Project Manager and wider site team
- Assisting with health & safety administration, notice boards, compliance records, and general office procedures
Candidate Profile
We're looking for a highly organised and personable administrator who enjoys working within a busy project environment. You'll ideally have:
- Previous experience in an administrative, office support, or reception-based role
- Excellent organisational skills with the ability to manage multiple priorities
- Strong communication and interpersonal skills
- Good attention to detail and the ability to maintain accurate records
- Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint
- Experience working within construction, engineering, or project environments would be advantageous but isn't essential
- GCSEs (or equivalent), including English and Mathematics
- Business Administration qualifications, First Aid, or Fire Marshal training would be beneficial
