This is a 6 month fixed term opportunity to join a busy, collaborative and supportive People Services team at a key point of change. You will play an important role in maintaining high‑quality, day‑to‑day HR services while the team transitions between HR systems and focuses on wider project and improvement work. As a People Services Administrator, you will bring professional credibility, sound judgement and a helpful, solutions‑focused approach. You will be a reliable and experienced pair of hands, providing accurate, timely and professional administrative and HR support that enables the wider team to deliver effectively and consistently.
We are looking for an experienced HR or People Services administrator who can deliver functional HR support from day one and work with confidence, integrity and care. This role is not suited to someone looking to move into HR for the first time or gain introductory experience. You will already have a solid understanding of HR administration and processes and be comfortable making day‑to‑day decisions using good judgement within a people services environment. You will be highly organised, methodical and detail‑focused, with a strong commitment to accuracy and data quality. You will be naturally curious and conscientious, willing to check information, chase missing documentation and question inconsistencies to ensure records are complete, reliable and compliant. You will be customer‑focused, approachable and supportive, with the ability to build trust and work collaboratively with colleagues and managers. You will handle sensitive and confidential information with professionalism and discretion and take pride in delivering a consistent, high‑quality service. Experience of working with HR systems is essential, with CascadeHR and People XD a strong advantage, as is confidence using Microsoft applications.
This role is focused on delivering high‑quality HR administration and operational support that underpins the wider People Services function. A significant proportion of your time will be spent maintaining employee records and HR systems, ensuring information is accurate, up to date and compliant. This includes data entry, processing changes, checking information, correcting errors and proactively following up outstanding documentation. You will support core people processes such as absence recording, contractual changes and general HR administration, helping to ensure continuity of service during the HR system transition. This role does not include employee relations case work, but responding to queries from staff and managers by email, phone or Teams will be a regular part of your role, providing clear, practical information or signposting to the appropriate colleague when needed. You will also support essential compliance activities including DBS renewals, right to work checks and driving checks, keeping robust records and chasing where required. Producing reports, supporting audits and assisting with business‑as‑usual activity across the People Services team will be key responsibilities. Throughout the contract, you will work closely with colleagues, offering practical support and helping to free up capacity so the team can focus on system implementation, projects and service improvements. You will be encouraged to suggest improvements to processes and ways of working, however small, that enhance accuracy, efficiency or the experience of our colleagues.
We are open to flexible working patterns and will consider a range of options. However, some on‑site attendance at our Cardiff Llanishen office will be required to support effective induction, collaboration with the team and the needs of the service.
If you would like an informal conversation about the role, please contact Katie Smith, People Services Manager at Katie.Smith@wwha.co.uk. Further details can also be found in the recruitment pack.
In return for your contribution, you will benefit from an organisation that values its people and offers more than just competitive pay, including:
- ÂŁ27,504 per annum 6 month fixed term contract
- Choice of Defined Contribution or Defined Benefit pension, both including 3x death in service life insurance cover
- 25 days annual leave increasing to 30 days with service, with the ability to buy and sell up to 5 days pro rata, plus time off for volunteering, health screening and more
- 9 Bank Holidays per annum, including an extra day at Christmas
- Opportunities to develop and grow
- Regular feedback, training and support from your manager and team
- Comprehensive sickness support including a generous sick pay scheme, critical illness cover, employee assistance and counselling services and a cash plan benefit
- And much more
