The Academic Services Administrator plays a key role in the effective delivery of academic administration. They are responsible for supporting core academic processes and immigration compliance, including student enrolment, programme management, external examiner administration, and quality assurance support. Working closely with academic staff and other professional services, this role ensures regulatory compliance, operational efficiency, and a consistent, high-quality student experience.
Key Responsibilities:
- Academic and Programme Administration
- Act as an administrative contact for programme development and modification, providing advice and ensuring processes follow internal policies and external regulatory frameworks.
- Support the preparation, updating, and publication of standardised programme and module handbooks (proformas), working in collaboration with academic colleagues.
- Support the timely and accurate maintenance of curriculum documentation in line with institutional quality and standards.
- Support tracking and forecasting of student numbers and consequent academic staffing requirements.
- Support planning of academic staff allocations for module development, delivery and review and associated liaison and organisation activities.
- Support programme team meetings.
- Support onboarding of new academic staff.
- Support tracking and issuing of academic sessional contracts.
- International Student Support
- Provide front-line communication with international students, dealing with queries relating to both immigration compliance and general academic and pastoral support issues.
- Co-ordinate international student arrival, registration and induction sessions.
- Provide international students with advice in regard of visa and immigration compliance matters, liaising with external advisory bodies as required.
- Quality Assurance and Enhancement
- Provide administrative support for the academic management of programmes and validation and revalidation processes.
- Support the annual monitoring processes.
- Act as a liaison between academic staff and central services such as Registry, Quality, and Planning.
- External Examiner Support
- Support the appointment and onboarding of external examiners, including seeking suitable examiners via external networks, ensuring compliance with institutional procedures.
- Support the administration of examiner reports, ensuring timely receipt, circulation, and action-tracking of responses.
- Liaison and Communication
- Serve as a key point of contact between academic staff and professional teams, promoting good communication and consistent application of policy.
- Attend, as requested, relevant academic committees and working groups, preparing papers, minutes, and following up on actions where required.
- Library Services
- Support the Library Manager to maintain library services during staff holiday periods and other pinch points, under the direction of the Provost.
- Senior Management Support
- Support the senior academic management team, including the Provost and Academic Dean in administrative support tasks, including around budget approvals, meeting planning and other matters as requested.
Skills and Qualification
Educated to degree level (postgraduate qualification desirable), you will have proven administrative experience within a higher education setting, including supporting senior academic and professional services staff, committees, and approval and review processes. You will demonstrate knowledge of UK higher education quality frameworks, external examiner processes, and UKVI regulations, with awareness of international student compliance requirements. Highly organised and detail-oriented, you will possess excellent communication and interpersonal skills, the ability to manage competing priorities and meet deadlines, and proficiency in Microsoft Office and systems such as SITS or similar. You will be confident analysing and presenting data, handling confidential information with discretion, and working both independently and collaboratively, with a strong commitment to continuous improvement and equality, diversity and inclusion.
This role is based in our London office but working from home is possible on some days. We support our staff to create work-life balance which works for them and welcome candidates looking for career flexibility.
