We have an excellent opportunity for an Administrative Assistant to join our Clinical Negligence department. Wake Smith is a multi-accredited firm, which has been established in Sheffield for more than 200 years. As one of the leading practices in the region, the firm has built an enviable reputation for forging successful professional relationships and providing exceptional client care.

The job holder will provide integral administrative support to the Head of Department and fee earners within the Clinical Negligence team. Responsibilities will include:

  • Undertaking file opening and onboarding processes including opening new files for clients, inputting new client details onto the Case Management system, sending out information to new clients and verifying information as appropriate.
  • Day to day management of the file, file closing and archiving procedures.
  • Proactively managing administrative tasks to support the fee earners with file handling such as progression of identity and anti-money laundering checks, disbursement handling, diary management and coordination.
  • Producing high quality and timely correspondence, responding to telephone calls and email enquiries, completing forms and preparing Court documents and electronic bundles.
  • Undertaking audio and copy typing of letters and documents, undertaking diary management tasks, dealing with invoicing and billing procedures.
  • Responsibility for preparing files for audits, coordination of Legal Aid applications and tenders.

Experience of or ability to administer and progress cases using an electronic Case management System is essential. An understanding of Legal Aid procedures in relation to Clinical Negligence procedures or a detailed knowledge of the funding of such matters would be a distinct advantage.

Candidates must have experience in working in a similar role, ideally within Clinical Negligence or Personal Injury department. In addition, candidates must be able to demonstrate excellent communication and interpersonal skills, a confident and proactive approach, and the ability to apply a high level of attention to detail in their work.

This is an excellent opportunity for an individual with secretarial and administrative experience to propel their career in an exciting direction, with sole responsibility for key procedures within the team and the autonomy available to make the role their own.
