Overview

Car Scheme Administrator, Central Transport role at Waitrose & Partners. The Central Transport Car Scheme Administration Assistant supports all Partnership vehicle operations in the governance of driver and vehicle sourcing, management and cost control, delivering a high level of customer service to vehicle operators and suppliers while maintaining information accuracy and adherence to processes. The role requires taking ownership for operational success and personal development.

Responsibilities

  • Maintain accuracy and integrity of information held in CT systems and processes
  • Investigate information discrepancies
  • Retain documentation as specified
  • Promote, develop and deliver outstanding customer service
  • Identify trends in errors, incidents and additional costs
  • Place new car orders and arrange deliveries
  • Use relevant systems effectively (Key 2 and other CT systems)
  • Create profiles, update data, events and incidents in CT systems
  • Respond to phone calls and emails in a timely manner to support SLAs
  • Housekeep archived information
  • Build relationships with car dealerships and third-party providers
  • Support partners with guidance on the Partnership Car Scheme
  • Demonstrate flexibility to enable business targets; participate in continuous improvement activities to achieve KPIs
  • Attend meetings and briefings including democratic activity
  • Apply health and safety standards and information security instructions; ensure a safe working environment
  • Develop and communicate ideas to management to improve customer feedback
  • Maintain an active Personal Development Plan (PDP)
  • Mentor peers to share best practice

Essential skills and/or experience

  • Ability to work on own initiative and prioritise workload
  • Experience in an administration/customer service role
  • Experience in a fleet-based environment
  • Good working knowledge of IT systems (Key 2, Google, Microsoft Office)
  • Intermediate spreadsheet skills

Desirable skills and/or experience

  • Knowledge of employee car schemes
  • Experience handling high capital amounts and confidential material
