Receptionist is a supporting function whose primary job duties include greeting vendors, customers, job applicants and other visitors and arranging for transportation services when needed. Direct visitors by maintaining employee and department directories. Answer phone and route incoming calls and place outgoing calls. Maintain security by following procedures, monitoring logbook and issuing visitor badges.
Requirements
- Greet clients as soon as they arrive and connect them with the appropriate party.
- Answer the phone in a timely manner and direct calls to the correct offices.
- Maintain conference room scheduling.
- Complete security and check-in/out procedures when guests arrive and depart.
- Check/sort/deliver mail to appropriate entity on a daily basis and handle outgoing mail as needed.
- Take and pass on messages to employees.
- Effectively communicate with all employees professionally.
- Take and route any complaints or problems that may arise within the facility.
- Schedule and confirm appointments and maintain event calendars.
- Inform other employees of visitors' arrivals or cancellations.
- Copy, file and maintain paper or electronic documents and records as needed.
- Order office and comfort supplies as needed.
- Any other duties and responsibilities as needed.
