Yates Engineers is seeking a Document Controls Specialist with experience supporting Engineering and technical project teams. This role is responsible for managing the flow, accuracy, revision control, and organization of engineering documentation across project stakeholders including internal engineering disciplines, field teams, owners, subcontractors, and external consultants.
This individual will help ensure engineering deliverables (drawings, design packages, calculations, submittals, and technical correspondence) are properly tracked, distributed, versioned, and accessible in accordance with project standards and schedule requirements.
Key Responsibilities- Manage the lifecycle of engineering documentation including creation, revision control, tracking, transmittals, and archiving
- Design packages
- RFIs
- Technical specifications
- Engineering change notices / revisions
- Coordinate document routing for engineering review cycles, approvals, and stakeholder distribution
- Ensure correct versioning and eliminate use of obsolete documents in circulation
- Organize and maintain project document control systems such as: SharePoint, Bluebeam, Autodesk (platform depends on project)
- Apply naming conventions, metadata standards, and folder structures aligned to project requirements
- Support teams in proper document submission procedures and timelines
- Serve as the key point of contact for document flow between: Engineering, Construction / Field, Project Management, Owners / Designers / Consultants, Subcontractors and vendors
- Coordinate with engineering leads to confirm incoming/outgoing deliverables meet contract requirements
- Assist with document-related compliance for audits, handover packages, and closeout documentation
- Generate routine reporting for engineering deliverables and document status including: overdue items, pending approvals, revision histories, distribution logs
- Validate documents for completeness, correct format, and proper approval signatures prior to release
- Identify gaps or breakdowns in document workflows and recommend improvements
- Experience in Document Control, preferably supporting Engineering, Design, EPC, or technically complex construction projects
- Familiarity with engineering document types (IFC/IFR drawings, design packages, specs, calculations, etc.)
- Strong knowledge of document control best practices: revision control, transmittals, audit readiness, naming conventions and metadata
- Proficiency with MS Office tools (Excel, Outlook, Word) and document platforms such as Procore / SharePoint / Aconex / ACC
- Ability to manage high document volume in fast-paced project environments
- Experience working on large commercial, industrial, mission-critical, or infrastructure projects
- Experience supporting engineering disciplines (civil, structural, mechanical, electrical)
- Working knowledge of Bluebeam Revu, AutoCAD file structures, or drawing markup workflows
- Familiarity with turnover / closeout documentation processes
- Experience with ISO-style document control processes (or similar governance models)
- Highly organized and detail-oriented
- Strong communication and follow-up discipline
- Comfortable interacting with engineers, PMs, field supervisors, and external partners
- Can manage competing priorities and meet deadlines
- Process-driven mindset with ability to improve workflows
- Engineering deliverables are accurate, current, and easy to locate
