This Executive Assistant role is a crucial part of the London team, supporting a team of six professionals up to Partner level. This is a highly administrative role with a strong emphasis on seamless professional support across the team and wider business. The role will be hands-on, fast-paced and suited to someone willing to collaborate across business functions.
Duties will include but are not limited to:
- Coordinate diary management for internal and external stakeholders, organising meetings and appointments across multiple time zones.
- Arrange comprehensive international travel logistics, managing complex multi-destination itineraries and handling visa applications.
- Provide administrative support including preparing and refining PowerPoint presentations, managing correspondence, drafting meeting agendas, maintaining organised filing systems, processing team expense claims, and managing incoming telephone communications.
- Work alongside fellow Executive Assistants to deliver seamless events, managing guest lists, tracking event expenditure, and coordinating with external suppliers.
- Support ad-hoc projects and initiatives as business needs arise.
- Undertake general administrative duties as required.
Candidate Specification:
- Educated to Degree level (or equivalent).
- Experience within the financial services or corporate sectors would be strongly preferred.
- Must demonstrate substantial experience in an Executive Assistant or Administrative Assistant role, with a proven track record of supporting senior-level executives in demanding environments.
- You will be proficient across the Microsoft Office suite, including Outlook, Word, Excel, PowerPoint, OneNote and Teams.
- Excellent organisational abilities and be skilled at building effective relationships with colleagues, clients and external partners at all levels.
- Ability to manage competing demands in a dynamic workplace, bringing meticulous attention to detail and a proactive, solution-focused approach.
- Sound judgment, discretion and strong problem-solving capabilities.
Additional Information:
- Salary up to £65k depending on experience.
- 10% discretionary bonus.
- 9am – 5pm, flexibility to work beyond as required.
- 1 day WFH per week.
