Job Summary
The Executive Assistant will provide high-level administrative support to MD, ensuring smooth operations and assisting with both day-to-day activities and long-term projects. The ideal candidate will be proactive, organized, and possess excellent communication skills, able to manage complex schedules and anticipate the needs of executives.
Responsibilities
- Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate and prioritize tasks to ensure deadlines are met.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle confidential information with discretion and professionalism.
- Answer calls, screen emails, and respond to inquiries as appropriate.
- Draft and review communication on behalf of the executive.
- Organize travel arrangements including flights, accommodations, and transportation.
- Create detailed itineraries for business trips, ensuring all logistics are handled.
- Coordinate events, meetings, and conferences for the executive and team.
- Manage logistics for internal and external events, such as company meetings or client presentations.
- Support and track the progress of ongoing projects.
- Assist in preparing reports, presentations, and other deliverables for key projects.
- Ensure tasks and projects are completed within deadlines and standards.
- Identify opportunities for process improvement and recommend solutions.
- Provide proactive support to the executive, anticipating needs and managing issues before they arise.
- Any other ad hoc duties
Experience
- Proven experience as an Executive Assistant or in a similar administrative support role.
- Experience managing executive calendars, coordinating meetings, and handling travel logistics.
- Exceptional organizational and time management skills.
- Strong communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to manage multiple priorities and work under pressure.
- High attention to detail and accuracy.
- Discretion and confidentiality in handling sensitive information.
- Proactive, resourceful, and self-motivated.
- Strong interpersonal skills with the ability to interact with various levels of staff, executives, and clients.
- Flexibility to adapt to changing priorities.
