Vtec Solutions are a leading, fast-growing provider of vehicle telematics and CCTV solutions across the UK. We help businesses improve fleet performance, enhance driver safety, and reduce operational costs. As our customer base continues to grow, we’re looking for an organised and proactive Telematics Operations Coordinator to take ownership of coordinating installations and acting as the key link between customers, installers, and internal teams.
The Role
This is a hands-on operational role responsible for the end-to-end coordination of vehicle telematics installations, upgrades, and removals. You’ll manage scheduling, ensure installations run smoothly, and support the setup and quality checks of systems, acting as the main point of contact for customers, engineers, and internal departments.
Key Responsibilities
- Schedule and manage installations, upgrades, and de-installs across fleets
- Coordinate with customers and field engineers to plan and confirm installation dates, times, and requirements
- Act as the main liaison between sales, service desk, installers, and customers
- Prepare and manage installation work orders and documentation
- Ensure installer compliance paperwork (RAMS, insurance, risk assessments) is in place
- Confirm equipment availability and installation readiness
- Handle scheduling changes, site constraints, and installation issues as they arise
- Configure and update customer accounts on the Webfleet platform following installation
- Carry out remote checks to ensure hardware is installed correctly and transmitting data
- Accurately compile job details for invoicing and support the financial pipeline
- Maintain clear communication to ensure all installations are completed on time and to a high standard
What We’re Looking For
- Experience in installation coordination, scheduling, logistics, or operations administration
- Strong organisational skills with the ability to manage multiple jobs at once
- Confident communicator, comfortable dealing with customers and third-party engineers
- High attention to detail, particularly with documentation and data accuracy
- Tech-savvy and comfortable working with cloud-based systems
- Ability to work in a fast-paced, operational environment
- Experience in vehicle technology, telematics, Webfleet, automotive, or field-based services would be an advantage, but isn’t essential.
