VSA currently have an exciting opportunity available to join our Aberdeenshire Carers Service as an Evaluation Administrator, working within our Administration and Service Grants delivery team. This will be a fixed-term, part-time position for one year starting from October 2026, with possible extension subject to funding. The role will support the service to evaluate service user feedback from funding awards, and in return, you will receive a competitive salary and benefits.

VSA's Aberdeenshire carers service supports adults, children, and young people who care for someone living in Aberdeenshire. The advantage of our information and support is that we are a local based organisation. We have an in-depth understanding of the people of Aberdeenshire and take a localised approach to all our information and carers services. We are also network partners with the National Carers Organisations, Carers Trust and Coalition of Carers which keeps us briefed with all matters relating to unpaid carers.

Contract: Fixed-term post for one year starting from October 2026, with possible extension subject to funding

Hours: 21 hours per week

Rate of Pay: £12.71

Location: Working from home (however this role will include regular weekly meetings in person across Aberdeenshire). A drivers license and access to your own transport is essential for this role.

Work Pattern: Working 3 days per week (must include working a Wednesday)

About the Role: The Evaluation Administrator will provide high quality administrative support to the Aberdeenshire Carers Service by gathering, recording, processing and reporting feedback from carers who have received service funding awards or participated in service events. The post-holder will support the service to understand the impact of funding awards, identify themes from service user feedback, and ensure accurate information is available to inform reporting, service improvement and future funding activity.

Responsibilities of our Evaluation Administrator will include:

  • Contacting carers who have received funding awards to gain feedback on their experience and the impact of the award.
  • Processing service user feedback accurately and sensitively in line with service procedures and data protection requirements.
  • Maintaining accurate records of feedback received, including outcomes, themes, and any follow-up actions required.
  • Supporting the preparation of evaluation summaries, monitoring information and reports relating to funding awards.
  • Identifying common themes, outcomes and learning from carer feedback to support continuous service improvement.
  • Liaising with grants officers, administrators and wider service colleagues to ensure feedback processes are timely and consistent.
  • Supporting the development and improvement of feedback forms, evaluation processes and administrative systems.
  • Responding to carer, public and professional enquiries in a professional and supportive manner.
  • Maintaining service documents, spreadsheets and records connected to funding award evaluation activity.
  • Contributing to service communications by sharing anonymised feedback themes, outcomes and positive impact stories where appropriate.
  • Supporting the delivery and evaluation of service grant funding to carers.
  • Any other tasks which may arise from time to time, provided they are reasonable and within the post-holder’s capabilities.

What we are looking for in our Evaluation Administrator:

Qualifications/Training/Education:

  • Essential: Skilled and experienced in Microsoft Office, Teams, SharePoint and maintaining accurate electronic records.
  • Well developed word processing / typing skills
  • Experience of handling confidential information and recording feedback accurately.
  • Desirable: Experience of working in Health and Social Care administrative, evaluation or monitoring roles.
  • Knowledge of funding processes and disbursement

Experience:

  • Essential: Demonstrable experience of providing high level administrative support, including data entry, record keeping and preparing information for reports.
  • Experience of contacting service users, gathering feedback and working sensitively with people by telephone, email or other communication methods.
  • Desirable: Knowledge and understanding of the issues facing unpaid carers across Aberdeenshire and Scotland.

Key Skills/Aptitudes:

  • Essential: Well developed interpersonal skills e.g. communication and listening
  • Good organisational skills with the ability to manage feedback tasks, deadlines and follow-up activity.
  • Good IT skills, including confidence using spreadsheets, databases and systems to record and analyse feedback.
  • Ability to identify themes and key information from feedback while dealing with competing priorities.

  • Self-reliance, and ability to work under pressure.
  • Good attention to accuracy, detail and quality when processing feedback and monitoring information.
