Voyago is hiring to fill an existing Payroll Assistant based in London, Ontario!
Your Role
Reporting to the Payroll Supervisor, the Payroll Assistant provides timely and accurate data entry and related clerical support to the payroll team to ensure effective payroll processing. The Payroll Assistant supports all aspects of the payroll cycle for multiple companies and operational divisions, processing employee changes and preparing reports and remittances in a timely and accurate manner, and in accordance with Company policies and government legislation and guidelines. This is an on-site position based in our London office.
Key Responsibilities
- Maintain and update employee status information in the HRIS/Payroll system including hires, terminations, and other changes
- Manage incoming volume of employee changes in accordance to the payroll calendar and priority adjustments
- Provide support to the payroll team in the preparation, verification and processing of all pay-related transactions including regular pay, applicable premiums, retroactive adjustments, benefit payments, and special payments
- Identify and report payroll discrepancies, manage payroll documentation, and maintain ADP Workforce Now system information
- Confirm eligibility criterion, prepare and calculate entitlements for employees during employment transitions, including termination pay and status changes
- Ensure all data files are complete for transmission to ADP
- Prepare and submit payroll deductions and remittances on a timely basis and ensure records are up to date
- Create reports from payroll data and time and attendance data
- Prepare payroll related filings and supporting documentation, such as year-end tax statements, Records of Employment, and other statements
- Support the team in the preparation of statutory forms such as T4, T4(A), ROE and address Service Canada/Service Ontario inquiries in a timely and thorough manner
- Prepare and verify statements of earnings for employees, indicating gross and net calculations and deductions such as taxes, union dues, etc.
HRIS Administration
- Ensure confidentiality is maintained via accurate security access assignment to users
- Maintain and update employee information in the HRIS/Payroll system, such as demographic records, compensation details, records of employee attendance, leaves of absence, overtime, etc., to calculate pay and benefit entitlements
Government Correspondence
- Respond to internal client inquiries about payroll related matters in a timely and professional manner
- Support the Payroll Supervisor in responses to the Canadian Revenue Agency regarding remittances, T4 values, annual PIER report or other required investigations or audits
Your Profile
- You have experience with high volume data entry, HRIS is an asset
- You have a post-secondary degree in Business Administration, Human Resources, or another relevant field
- You have Canadian Payroll Compliance Professional (PCP) Designation (or willing to obtain)
- You have experience with ADP Workforce Now, or another payroll/HRIS product
- You have experience with multi-union payroll is an asset
- You bring knowledge of Canadian payroll legislation, Provincial Employment Standards (ON & MB), taxation guidelines and year end reporting processes.
- You bring intermediate knowledge of MS Office Suite and proficiency with payroll software programs
- You can function effectively in a fast-paced, deadline driven environment
- You can function effectively within a team and collaborate well with colleagues, staff, and managers
- You can maintain discretion with confidential information
- You bring strong organization skills and attention to detail
- You bring superior communication and interpersonal skills
- You can provide a Clean Criminal record search
Annual Salary: $45,000 - $52,000
