The Opportunity
We're hiring an Office Manager to lead the day-to-day running of the office based at our pharmacy location in Wallingford, Oxfordshire. You'll be responsible for the people planning behind it, the supplies and equipment that keep everyone working, the suppliers and contractors who service the space, and the standards it's held to.
This is a hands-on ownership role, not an admin seat. You'll be the person who knows who's scheduled tomorrow, whether that overtime was authorised, when the coffee is about to run out, and which contractor still hasn't been back. You'll report to the Operations Manager.
Please note, this is a 9-month fixed term contract (maternity cover).
What youβll own
- Labour and scheduling: Labour planning for the office and support team, making sure the right people are scheduled at the right times. Overtime planning end to end: tracking hours, and ensuring overtime is authorised, accurate and cost-effective. Agency labour β liaising with suppliers, managing hour recording, and keeping the numbers straight.
- Supplies, stock and purchasing: Raising purchase orders for office supplies and equipment, and chasing approval and delivery so nothing stalls. Replenishing coffee and related supplies, so the office never runs short. General stock keeping and reconciliation of office supplies.
- The office itself: A clean, tidy and well-organised office at all times. Ancillary organising tasks: meeting room set-up, post and deliveries, and general office admin as needed. Acting as the main point of contact for facilities and office-related queries, keeping the day-to-day running smoothly.
- Suppliers and improvement: Liaising with third-party suppliers and contractors for office maintenance, equipment servicing and deliveries. Identifying and implementing process improvements that increase efficiency across office operations.
Who you are
- Experience in office operations, facilities or administrative functions.
- A keen eye for detail and strong organisational skills.
- Confidence raising and managing purchase orders, and working with stock and inventory processes.
- Experience with labour and overtime planning or scheduling.
- The ability to handle and prioritise a varied workload in a fast-paced environment.
- A proactive approach to problem-solving and process improvement.
- Strong communication skills and confidence liaising with suppliers and contractors.
