Are you organised, creative, and excited about supporting the delivery of international events? At Volare Vitae, we provide high-quality event and logistics support to EU-funded projects across multiple regions. We are looking for an Events Assistant to join our team and contribute to the successful planning and execution of workshops, conferences, and high-level meetings.
What you’ll do:
- Assist in planning and coordinating events (workshops, conferences, meetings, study visits)
- Support preparation of event agendas, participant lists, and coordination materials
- Liaise with venues, service providers, and suppliers to ensure smooth event delivery
- Support participant communication, including invitations, registrations, and follow-ups
- Assist with travel and accommodation arrangements for speakers and participants
- Prepare event materials (presentations, badges, agendas, visibility items)
- Provide on-site or remote support during events, ensuring smooth coordination
- Support post-event activities, including feedback collection and reporting
- Ensure compliance with EU visibility and branding requirements
Who you are:
- Organised, detail-oriented, and able to manage multiple deadlines
- Comfortable working in a fast-paced, international environment
- Strong communication skills in English (additional languages are a plus)
- Proficient in MS Office; experience with event tools/platforms is an advantage
- Experience in event organisation, administration, or logistics is an asset
- Proactive, flexible, and solution-oriented mindset
