The Newsroom Workflow Architect plays a key role in developing and executing Volant Media’s state-of-the-art workflows. You will need an in-depth knowledge of all aspects of the workflow in enterprise level news production but with a focus on newsroom operations. You will ensure all departments, staff and freelancers are trained and follow the correct procedures. You must be able to identify issues and work collaboratively to resolve them. You will need to be able to effectively liaise with all relevant stakeholders including but not limited to Editorial, Technology and Content Operations teams and vendors.

Building on deep operational expertise, this role adds a strategic and architectural dimension— translating complex business requirements into scalable, resilient workflow that span editorial, technology and content operations domains.

Responsibilities
  • Proactively monitor and architect end-to-end newsroom workflows, defining the structural design of how content, metadata, and tasks move across systems and teams.
  • Work closely with the workflow team to address challenges and drive innovation.
  • Assist in with other workflow streams collaboratively and proactively.
  • Identify and report workflow inefficiencies and collaborate for effective solutions.
  • Lead the evaluation and selection of workflow technologies, tools, and integrations, defining technical requirements and interoperability standards.
  • Acting as a liaison between user groups and stakeholders, ensuring clear communication and continuity of workflow.
  • Encourage adherence to workflow standards and foster a collaborative culture for operational excellence.
  • Engage with leadership to reinforce the value of workflow best practices across newsroom and broader operations.
  • Document innovations, data, and issues to guide improvement and ongoing collaboration.
  • Ensure newsroom workflows, rundowns and operational checklists are updated, and new projects are efficiently set up in relevant systems.
  • Assist technology teams and external vendors in understanding workflows and user needs to optimize support and drive technical progress.
  • Deliver training for staff and freelancers to strengthen workflow adherence.
  • Perform other duties to enhance collaboration, innovation, and uphold workflow standards.
  • Define integration standards and data flow requirements between newsroom systems —including NCS, MAM, CMS, graphics, and distribution platforms.
  • Identify opportunities to automate repetitive workflow steps, reducing manual overhead and improving operational consistency.
  • Use operational data and user feedback to identify systemic issues and drive evidence-based workflow evolution.
  • Partner with technology teams and external vendors to align platform capabilities with workflow requirements and user needs.
  • Lead and participate in cross-functional Working Groups to ensure effective ownership, delivery and continuous improvement of end-to-end workflows and services.
Requirements
  • Expert level experience in newsroom systems, media management systems, CMS and video editing software.
  • Hands-on experience with Saga, Mimir, Vizrt, HTML graphics, and Adobe Premiere.
  • Familiarity with integration standards and APIs commonly used in broadcast technology ecosystems.
  • Background in systems thinking, service design, or a related discipline.
  • Familiarity with live and non-linear workflow requirements in the news multimedia arena.
  • Ability to champion, follow, and improve Volant Media’s workflow procedures across all environments, actively providing constructive feedback and identifying opportunities for optimization.
  • Proven history of a collaborative approach to working with a range of stakeholders.
  • Experience delivering training in person and remotely.
  • Excellent communication and documentation skills.
  • Comprehensive understanding of Volant Media’s business processes and policies, ensuring alignment with organizational standards and goals.
