VFP Group is a national specialist service provider within the Fire & Security industry, delivering high-quality compliance, maintenance, and installation services across the UK. Due to continued growth, we are seeking a Sales Coordinator to join our expanding Passive Fire Division. Our Passive Fire Division has gone from strength to strength since its launch and continues to experience significant demand as building safety legislation evolves and compliance requirements become increasingly important. Passive fire protection plays a critical role in safeguarding lives and property, and this is an exciting opportunity to join a growing team at a pivotal stage in its development.

As Sales Coordinator, you will play a key role in supporting our Business Development Manager, Sales and Operations Team as well as our Engineers and Inspectors on site. This role is vital in ensuring the smooth coordination of fire door inspections, remedial works, and installation projects. This position is ideal for an organised and proactive individual who enjoys working with clients, property managers, landlords, tenants, and internal teams to deliver outstanding service and maintain the highest standards of compliance.

Key Responsibilities
  • Support the Business Development Manager and Sales Manager with day-to-day sales administration and client communications.
  • Maintain accurate client records and opportunities within our bespoke CRM system.
  • Coordinate enquiries from clients, landlords, property management companies, and other stakeholders.
  • Prepare quotations, proposals, and supporting documentation for remedial works and fire door installations.
  • Follow up on quotations and assist in converting opportunities into confirmed projects.
Inspection & Remedial Works Coordination
  • Schedule fire door inspections with tenants, landlords, managing agents, and property managers.
  • Liaise directly with residents and tenants to arrange access appointments and ensure inspection programmes run efficiently.
  • Monitor inspection progress and maintain clear communication with all parties throughout the process.
  • Review completed fire door inspection reports generated by inspectors through our digital inspection platform.
  • Export and analyse identified defects and inspection findings.
  • Assist in producing schedules of remedial works and replacement fire door requirements.
  • Calculate costs and prepare quotations for remedial works and new fire door installations following our Fire Door Inspections.
CRM & Administration
  • Maintain and update all client, property, inspection, and project information within the company CRM system.
  • Ensure all documentation, compliance records, quotations, and project information are accurately recorded.
  • Working with the BDM to track sales activities, inspection programmes, and project progress.
  • Produce reports and management information as required.
  • Support continuous improvement of internal processes and systems.
Internal Team Coordination
  • Act as a key communication link between Sales, Operations, Inspectors, Clients, and Contractors.
  • Coordinate project handovers from sales through to operational delivery.
  • Prioritise workloads effectively to meet deadlines and client expectations.
  • Ensure all administrative and compliance requirements are completed before works commence.
Skills & Experience
  • Previous experience in a Sales Coordinator, Project Coordinator, Contracts Coordinator, or similar administrative role.
  • Strong organisational skills with the ability to manage multiple tasks and priorities.
  • Experience using CRM systems and maintaining accurate records.
  • Excellent communication skills, both written and verbal.
  • Ability to liaise professionally with tenants, landlords, property managers, contractors, and internal teams.
  • Strong attention to detail and problem‑solving skills.
  • Proficient in Microsoft Office, particularly Excel, Outlook, and Word.
  • Experience within the passive fire protection industry.
  • Knowledge of fire door inspections, remedial works, and fire door installations.
  • Understanding of fire safety compliance and passive fire regulations.
  • Experience reviewing inspection reports and preparing quotations from defect schedules.
  • Experience working with housing associations, local authorities, or property management companies.
