We coordinate campaigns across our internal stakeholders, VML global Service Delivery Hub teams, and third-party agencies. Campaigns generate sales leads, scores, and processes according to their sales strategy. The events team is an expert group within our client’s program responsible for coordinating and executing various global and local in-person events (for a huge global tech client).
Key Responsibilities:
We’re looking for a Marketing Coordinator for Events, who plans and executes in-person events. The role acts primarily as project manager who coordinates internal VML resources, stakeholders, and third-party vendors. These are some highlights of your day:
- Events Consultation & Planning: Participate in event planning and scheduling. Ensure events adhere to the client’s corporate guidelines. Consult on internal event management tools. Coordinate with venue providers, catering companies, and other vendors, managing costs in line with agreements. Open, initiate, and manage Purchase Orders for each event. Advise stakeholders on situations requiring additional reviews and approvals.
- Events Preparation: Work closely with VML Project Execution Leads (PEL) across all events to ensure event success. Coordinate all parties involved in an event, including VML, stakeholders, and third parties.
- On-Site Support Event Management: Oversee on-site event logistics, including registration, venue setup, and supplier coordination. Provide on-site support for events outside of London or larger-scale events.
- Event Compliance: Ensure all events adhere to corporate guidelines.
- Vendor / Agency Coordination: Collaborate with venue and agency providers, catering companies, and other vendors, managing costs in line with agreements.
- Events Execution & Post-Events Activities: Execute events from start to finish in line with guidelines and procedures. Provide reporting and insights from the event.
- Stakeholder Management: Educate internal and external stakeholders on the agenda and topics for the program events. Advise on tools used for event planning and execution. Share best practices and success stories, engage in knowledge sharing, and improve services continuously.
