We are seeking a highly analytical and detail-oriented Asset & PPM Coordinator to join our team at VIVO Defence Services. In this key role, you will serve as the central point of expertise for understanding and managing the operational status of Level 2, 3, and 4 assets across the MoD housing portfolio.
Your primary responsibility will be to maintain accurate, dynamic asset data within our CAFM system and ensure that all Planned Preventative Maintenance (PPM) regimes are correctly aligned with asset status. You will interpret daily operational reports and move-in/move-out data to determine when assets and PPM schedules should be activated or placed into hibernation, ensuring the integrity of data that drives our operational performance.
Working closely with the Asset Manager, internal VIVO teams, and the Billable Works division, you will ensure that home occupancy status is always known and reflected in maintenance plans. You will be responsible for analysing data from multiple systems (including Opti-time, RM, and PPM reports), generating daily reports, issuing work orders to the supply chain, and updating asset records accordingly. Your insight will directly impact compliance, efficiency, and resource allocation.
In addition to day-to-day coordination tasks, you will contribute to the design and implementation of an industry-leading asset reporting function. This includes creating enhanced maintenance strategies and supporting asset renewal planning, ensuring a proactive approach to lifecycle management.
What You'll Bring:
To succeed in this role, you'll need advanced Excel skills and the ability to manipulate and interpret complex datasets. Strong organisational and communication skills are essential, along with a proactive and inquisitive mindset that seeks to understand the story behind the data. Proficiency in Microsoft Office is expected, and familiarity with systems such as Maximo, Power BI, or CAFM platforms would be highly beneficial. An understanding of asset hierarchy, statutory inspection regimes, and PPM scheduling-particularly in a housing context-is desirable.
