Job description:

We are seeking a capable and motivated Administrator to join the Operations Team at DST Leconfield. This is a fully office‑based role within a structured but fast‑paced environment, supporting the delivery of essential services across the VIVO estate. The Administrator will provide comprehensive administrative support to the Operations Team, working closely with service managers and project managers who operate from the site office. The role is central to the smooth running of day‑to‑day operations and involves a broad range of administrative and coordination responsibilities.

Responsibilities:

  • Manage the maintenance database and support the coordination of planned and reactive works.
  • Ensure accurate recording and closure of work orders.
  • Support general office functions such as managing notice boards, assisting with fire warden responsibilities and maintaining both electronic and hard copy filing systems in line with quality standards.
  • Prepare reports, meeting minutes, agendas and action logs.
  • Act as the first point of contact for queries and requests.
  • Support wider office operations, acting in a backend administrative or office manager capacity within the team.
  • Process purchase orders, coordinate meetings and events, and support security vetting processes where required.
  • Perform some travel to other sites as needed, e.g., Fylingdales and Stackstone Fold; role accessible via public transport and does not require a driving licence.

Qualifications:

We are looking for someone with strong organisational skills, a proactive attitude, and a willingness to learn. While experience in administration is beneficial, we are open to transferable skills. A basic understanding of databases or systems is useful, but more important is the ability to work well within a team and develop within the role.

We will make reasonable adjustments at interview through to employment for our candidates and strongly encourage applications from a diverse candidate pool. We are proud to be a Disability Confident Leader. Disabled applicants who meet the minimum criteria for the job will be given the opportunity to demonstrate their abilities at an interview.
