About The Role
Senior People Advisor - 25 hours per week and £40,000 per annum pro rata.
Based at Epsilon House Ipswich with travel to sites as required.
Job Purpose
The postholder is responsible for delivering a professional, responsive and commercially focused HR Advisory service across Vivo Clean.
Working as the first point of contact for managers, you will provide practical advice and guidance on day to day employee relations matters, ensuring managers have the confidence and capability to deal with people issues fairly, consistently and in line with company policies and employment legislation.
Alongside providing advice, you will be responsible for ensuring all employee life cycle administration is completed accurately and on time, maintaining high standards of compliance and employee experience.

Responsibilities
- Key Accountabilities
- HR Advisory
- Provide first-line HR advice and guidance to supervisors and managers on routine employee relations matters.
- Support managers with sickness absence management, probation reviews, disciplinary matters, grievance cases, capability processes and general performance management.
- Interpret company policies and employment legislation to provide practical, commercially focused advice.
- Identify matters requiring escalation and refer complex or high risk cases to the HR Consultant.
- Manager Coaching
- Coach supervisors and managers on how to manage people issues confidently and effectively.
- Prepare managers for formal and informal meetings with employees – attending to provide advice and support through the process.
- Help managers plan conversations relating to attendance, conduct and performance.
- Build management capability through guidance, coaching and constructive feedback.
- Confidently and professionally challenge managers where proposed actions are inconsistent with company policy, legislation or best practice.
- Encourage managers to resolve issues promptly through effective people management rather than avoiding difficult conversations.
- Employee Relations
- Support managers in managing routine employee relations cases from start to conclusion.
- Draft correspondence including invitations, outcome letters and supporting documentation.
- Attend meetings where appropriate to provide procedural guidance.
- Ensure accurate records are maintained throughout all employee relations processes.
- Monitor ongoing cases and ensure agreed actions are completed within appropriate timescales.
- Employee Lifecycle Administration
- Prepare contracts of employment, contractual amendments and offer documentation.
- Ensure all new starter, staff changes and leaver processes are completed accurately and within agreed timescales.
- Maintain accurate employee records using the HR System (Bright HR).
- Liaise with payroll regarding contractual changes and employee movements.
- Monitor probation periods and remind managers of upcoming review dates.
- Produce routine HR reports and management information as required.
- Compliance & Continuous Improvement
- Support the review and development of HR policies, templates and processes.
- Identify opportunities to improve efficiency and consistency within HR administration.
- Support wider HR projects as the business continues to grow.

Requirements
Knowledge, Skills & Experience
Essential
- Experience working within an HR Advisor or HR Officer role.
- Sound understanding of UK employment law.
- Experience supporting managers with employee relations matters.
- Experience producing HR correspondence and maintaining employee records.
- Proven written and verbal communication skills.
- Strong organisational skills with excellent attention to detail.
- Ability to manage multiple priorities effectively.
- Proficient in Microsoft Office.
Desirable
- CIPD Level 5 qualification or working towards it.
- Experience within facilities management, cleaning or another operational multi-site environment.
- Experience using HR information systems.
