We believe nothing is more important than people's health and happiness, and what we do makes a difference. We inspire people to get the most out of life, bring communities together and help schools generate much needed revenue. We pride ourselves on minimising the hassle for schools letting out their facilities, and our Community Hosts are passionate about the service they give. We are growing fast, and we are committed to a workplace that thrives on collaboration and continuous development.

The purpose of the role

Reporting to the Head of People and Culture, this role is the operational backbone of our People function, working closely with Central Operations and our regional teams on delivering pragmatic people support. You will be the person our teams rely on for sound advice as they manage their own people across our schools — communications, engagement, development and performance. You will also be custodian of our people analytics, turning data into the insight that shapes our roadmap for people operations.

What you'll be doing

  • Be the first point of contact on the everyday people questions that come up across our Community Host workforce.
  • Prepare payroll each cycle for both workforces, including variable Host hours — checking, querying and reconciling so everyone is paid accurately and on time.
  • Own our people data and analytics — build the reporting on turnover, absence, engagement and cost, and interrogate it for the patterns worth acting on.
  • Handle the day-to-day employee relations work — attendance, conduct, capability and performance — with note-taking, correspondence and follow-through.
  • Keep records, systems and compliance in good order across policy, contracts and mandatory training.
  • Build engagement and retention with initiatives that suit short-shift, flexible and remote colleagues.
  • Improve as you go, and turn your hand to what the week needs — the role will broaden as we do, and we always find a way to tackle any challenge.

What success looks like?

  • Reporting that leaders reach for when they make decisions.
  • Cases progressed promptly and fairly, with clean documentation and records.
  • Turnover and engagement moving the right way.
  • Payroll right first time, every cycle.

Who we're looking for?

  • You might be CIPD Level 3 qualified, working towards it, or hold equivalent hands-on experience — all three work for us, and we will support your next qualification.
  • A real passion for data — strong Excel skills, and the knack of explaining what the numbers actually mean.
  • Experience of payroll preparation, or a genuine appetite to own it, with the accuracy the task demands.
  • Strong organisational skills and the flexibility to juggle a broad, changing workload.
  • A clear communicator who is professional, confidential and credible in hard conversations.
  • Practical and calm under pressure, ideally with experience of a shift-based workforce.

Why join Vivify?

  • Real ownership from the start — you will have the ability to shape the role and its scope of influence.
  • Sight of the whole employee lifecycle across two very different workforces: our remote team and our Head Office support function.
  • A function still being shaped, where what you set up becomes how we work.
  • A bonus tied to outcomes you can move, and room to grow as the function does.
