The Senior Operations & Logistics Coordinator is responsible for overseeing the day-to-day operational, logistics, and inventory functions of Vivere London.

Acting as a key link between warehouses, suppliers, factories, logistics providers, wholesale partners, and internal teams, this role ensures the efficient movement of products across the supply chain from production through to customer delivery.

The role takes ownership of inventory accuracy, logistics coordination, production support, wholesale fulfilment, and operational reporting, while driving process improvements and supporting the continued growth of the business.

This position requires a highly organised and proactive individual with strong operational expertise, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

• Operations, Logistics & Inventory Management
• Manage day-to-day logistics and operational activities across e-commerce, wholesale, and production channels.
• Act as the primary operational contact for warehouse partners, ensuring efficient stock movement and fulfilment processes.
• Oversee inbound and outbound shipments, coordinating with courier, freight, and logistics providers to ensure timely delivery.
• Monitor and track shipment progress, proactively resolving delivery, inventory, and fulfilment issues.
• Maintain accurate inventory records across Shopify, Zedonk, warehouse systems, and internal reporting tools.
• Lead regular stock reconciliations and investigate inventory discrepancies to ensure inventory accuracy.
• Monitor stock levels and coordinate replenishment requirements to support business demand.
• Identify and implement opportunities to improve operational efficiency and logistics performance.
• Production & Supplier Coordination
• Manage the ordering of production components including labels, swing tags, packaging, and related materials.
• Coordinate with suppliers and factories to ensure production timelines and delivery schedules are achieved.
• Prepare and manage purchase orders (POs) for suppliers and manufacturing partners.
• Track production progress and maintain regular communication with suppliers regarding lead times and delivery schedules.
• Maintain accurate production records, documentation, and supply chain information.
• E-Commerce Operations
• Oversee product administration across Shopify and Zedonk, ensuring product data, pricing, imagery, and inventory information remain accurate.
• Manage EAN and barcode creation through GS1.
• Support product launches, seasonal collections, and website updates across all sales channels.
• Coordinate operational aspects of online order fulfilment, returns, exchanges, and shipment tracking.
• Provide excellent customer service to all Vivere customers; building and maintaining strong client relationships.
• Wholesale Operations
• Manage wholesale operational processes from order placement through to shipment and delivery.
• Work closely with wholesale agents and key partners to provide product information, pricing, imagery, and supporting sales materials.
• Coordinate showroom logistics and support seasonal sales campaigns.
• Ensure wholesale partners receive accurate documentation and operational support to facilitate successful order fulfilment.
• Act as a key liaison between internal teams, wholesale partners, warehouses, and logistics providers.
• Reporting & Business Support
• Produce weekly and monthly inventory, logistics, sales, and operational performance reports for senior management.
• Analyse inventory, fulfilment, and shipment data to identify trends, risks, and opportunities for improvement.
• Support operational planning and forecasting through accurate reporting and stock visibility.
• Maintain organised operational systems, documentation, and records.
• Contribute to the ongoing development and improvement of operational processes and procedures.

Skills & Competencies

• Strong experience in operations, logistics, inventory management, or supply chain coordination.
• Excellent organisational skills with the ability to manage multiple priorities and deadlines.
• Strong understanding of inventory control, order fulfilment, and logistics processes.
• Advanced proficiency in Microsoft Excel and operational reporting.
• Experience using Shopify, Zedonk, and inventory management systems.
• Excellent communication and stakeholder management skills.
• Highly proactive, solution-oriented, and capable of working independently.
• Strong attention to detail and commitment to operational excellence.
