About the Role
This is a dynamic, hands‑on position where no two days are the same. You’ll be at the heart of our fuel supply chain—managing suppliers, coordinating HGV deliveries to fuel stations primarily in the UK, but also Germany, Belgium and the Netherlands, while also ensuring our fleet is maintained to the highest safety and compliance standards. The position requires strong organisational skills to balance delivery scheduling with proactive fleet management, ensuring vehicle compliance, availability, and operational efficiency.
Planning and Coordination
- Plan, control, and monitor all HGV deliveries and transport activities to fuel stations, considering delivery deadlines, legal driver hours, route optimisation, and priority management.
Communication
- Maintain continuous communication with transport companies, workshops, and suppliers to ensure smooth operational performance.
- Take swift, solution‑oriented action to address delivery delays, breakdowns, or urgent maintenance needs.
It is here where fluent German for both conversation, written communication and IT systems is essential.
Inventory Management
- Monitor LNG stock levels at filling stations and make proactive changes to the delivery schedule to prevent shortages, ensuring consistent supply security.
- Manage the full R&M schedule for trucks and trailers, including preventative maintenance, MOT scheduling, and unplanned repairs.
- Liaise with maintenance providers to minimise downtime and ensure all vehicles meet safety and legal compliance standards.
Documentation and Reporting
- Maintain accurate records of deliveries, maintenance logs, and all relevant communications.
- Prepare reports, performance metrics, and maintenance analyses to drive continuous improvement.
Analysis
- Analyse delivery and fleet performance data to identify trends, reduce downtime, and improve efficiency in logistics and maintenance operations.
Quality, Safety and Compliance
- Ensure compliance with country specific (UK, Germany, Netherlands, Belgium) transport regulations, hazardous goods handling legislation, environmental policies, and HGV fleet safety standards.
- Support audit processes and emergency response planning as well as driving times and rest periods from country specific fleets.
- Work closely with Operations, Sales, Finance, and Workshop teams to optimise supply chain and fleet performance, integrating new systems or processes where beneficial.
Specific Challenges
This role demands flexibility, adaptability, and to operate under pressure. Balancing strict delivery schedules with the need for driver/vehicle safety and compliance is essential. The transportation of hazardous goods requires a meticulous approach. Unexpected challenges such as vehicle breakdowns, supply chain interruptions, or severe weather must be managed quickly, with effective prioritisation and decision‑making.
Additional Knowledge
- Knowledge of the properties of LNG (e.g., temperature, pressure, safety requirements) is an advantage.
- Knowledge of LNG‑specific equipment (e.g., tank couplings, sensors) is an advantage.
- Experience with telematics systems and real‑time tracking is an advantage.
Education and Qualifications
- Completed qualification in transport, logistics, or fleet management, e.g., Transport Manager CPC or equivalent.
- Alternatively, extensive experience in HGV dispatching and fleet maintenance coordination.
Professional Skills
- Strong understanding of UK HGV logistics operations with knowledge of European operations an advantage.
- Experience in hazardous goods transport, fleet maintenance scheduling, and compliance.
- Proficient with logistics dispatch systems, fleet management software, and MS Office.
- Analytical skills to improve fleet efficiency and reduce downtime.
