This individual demonstrates expertise in exemplary bid writing and has comprehensive knowledge of the standards necessary for successful outcomes. The Bid Writer integrates key strengths from previous submissions to improve future bids and works closely with the Work Winning Support Team and Bid Managers to secure optimal quality scores for the business.
The role emphasises strict adherence to standards, ongoing improvement, and the application of innovative strategies to develop compelling, bespoke, and fully compliant bid documents. In collaboration with Bid Managers, the Bid Writer addresses bid management challenges, streamlines the drafting process, ensures sufficient time for thorough review at each stage, and guarantees that drafts submitted to Directors already embody best practices, strong written communication, and valuable enhancements, such as client testimonials, images, and case studies to fulfil all client requirements comprehensively.
Roles and Responsibilities:
- Actively participate in the “Quality Task Force”, ensuring bid writing standards are upheld and continuous improvement is driven across all submissions.
- Guide the Bid Leads in following the Work Winning procedures and all associated documents/forms etc. to drive a transparent and efficient tender process.
- Demonstrate a thorough understanding of qualitative requirements for each bid, ensuring Bid Managers adhere to established processes to optimise quality scores in written submissions.
- Facilitate early qualitative reviews throughout the bid process by managing timelines efficiently, allowing for proactive feedback and improvements to written content.
- Ensure qualitative aspects of bid submissions progress in line with milestone targets and that content is reviewed at multiple stages of the bid process.
- Work collaboratively with senior management and Bid Managers to agree strategies and approaches for each qualitative submission, ensuring alignment and clarity in written content.
- Develop and implement innovative qualitative strategies to suit each bid, encouraging early and collaborative input from Bid Managers, the Head of Bids/Pre-Construction, senior directors, and ensuring their contributions are accurately reflected in the final written submission.
- Conduct strategic evaluations of key bids, including comprehensive review of qualitative questions, and support the development of structured responses, answer plans, and quality-focused tender queries.
- Review the “Plan on a Page” for each bid, constructively challenge the Bid Lead on content, assist in shaping answers and answer plans, and direct them towards successful previous submissions.
- Work with Bid and Pre-Construction Managers to ensure established processes are followed, challenge their approaches to qualitative responses, and share feedback with the Head of Bids and Head of Pre-Construction, highlighting any areas needing additional support or intervention.
- Gather information from subject matter experts across Vital Energi (e.g., Engineering, Commercial, Energy Solutions, Project Delivery etc.) and convert technical input into clear, customer-focused language.
- Ensure every proposal is reviewed at the appropriate stages throughout the bid period, from initial strategy and question structure to content development and final review.
- Proactively escalate any issues to maintain quality and compliance, ensuring proposals are properly approved before submission.
- Collaborate with the Head of Bids and Submissions Managers to ensure every submission is of the highest quality, clearly defining roles and support required during the bid period.
- Guarantee all submissions are fully supported, gateway-reviewed, compliant, and meet “Vital Ready” standards.
- Contribute to individual proposal submissions as required, generating tailored and personalised content to ensure bids are compelling and fully compliant.
- Promote the effective use of AI in bid writing, ensuring Bid Managers utilise appropriate tools for specific tasks, discourage generic AI-generated content, and advocate for thorough fact checking and quality assurance.
