As the Group continues to grow, we are looking for someone brilliant at making things happen behind the scenes.

You will become the go to person for our office, people administration, executive support and day-to-day operations, bringing structure, energy and care to the details that keep a busy group moving.

This is a genuine opportunity to shape the role.

You will work closely with the board and senior leadership team, gain exposure across four businesses and have the freedom to improve how things are done as the Group develops, both by organic growth and future company acquisitions.

The Role

No two days will look the same.

The role combines office management, operational support, HR administration and executive assistance, with responsibility across the following areas:

  • People, HR & Contracts
  • Prepare employment contracts, offer letters, variation letters and other people documentation, using approved templates and external advice where required.
  • Maintain accurate and confidential employee records, including absence, holiday, benefits, probation dates and key employment information.
  • Support day-to-day HR queries and help keep Group policies, processes and the employee handbook current.
  • Coordinate probation reviews, appraisals, training records and other people related deadlines.
  • Provide accurate starter, leaver and contractual change information to payroll and relevant internal teams.
  • Own the new starter journey from accepted offer through to a well-organised first day, induction and probation period.
  • Coordinate right-to-work checks, references, equipment, system access, benefit enrolment and welcome information.
  • Act as the main day-to-day contact with internal & external IT, coordinating tickets, hardware, software, access and user setup.
  • Make sure equipment and access are properly managed when people join, move roles or leave.
  • Coordinate leaver administration, return of equipment, access removal and exit documentation.
  • Office & Operational Support
  • Keep the office running smoothly, including supplies, facilities, meeting spaces, post, couriers and general workplace standards.
  • Place and track business orders, manage routine suppliers and make sure purchases are approved and properly recorded.
  • Support the senior leadership team with diaries, meetings, documents, actions and confidential administrative tasks.
  • Book UK and international travel, preparing clear itineraries and keeping arrangements organised when plans change.
  • Help coordinate Group information, recurring deadlines and practical actions across Vital UK, Vital Dubai, VECTr and Nextron.
  • Culture, Recognition & Events
  • Organise birthdays and team recognition, including cards, vouchers and cakes, the small things matter.
  • Plan team events, celebrations and company wide activities, from the initial idea through to delivery.
  • Support internal communications and help create a welcoming, inclusive and well-organised workplace.

We are looking for a proactive all rounder who enjoys variety, spots what needs doing and follows it through without needing to be chased.

You may already be an Office Manager, Operations Coordinator, Executive Assistant or People Administrator but what matters most is that you can bring those skills together.

You will be someone who

  • Is exceptionally organised and able to balance several priorities across different businesses.
  • Communicates confidently and builds trusted relationships at every level.
  • Handles personal, commercial and employee information with complete discretion.
  • Has strong attention to detail, particularly around contracts, records and deadlines.
  • Is comfortable taking ownership, making sensible decisions and solving practical problems.
  • Enjoys technology and looks for simpler, more efficient ways to work.
  • Can move comfortably between a senior leadership request, a new starter setup, an IT issue and planning the next team event.
  • Brings a positive, calm and helpful approach, even when the day changes quickly.
  • Has relevant experience in office management, executive support, operations or HR administration; experience across more than one of these areas would be ideal.
