IN A NUTSHELL, YOU WILL BE RESPONSIBLE FOR...

WORKPLACE OPERATIONS

  • Own the day-to-day operations of the London office, ensuring a safe, professional and welcoming environment for employees and visitors.
  • Manage office facilities, workplace Health & Safety and compliance, in line with company policies and relevant legislation.
  • Manage relationships with landlords, vendors and service providers.
  • Oversee office budgets and the purchasing of workplace supplies, including pantry and stationery orders.
  • Coordinate maintenance repairs, post and courier services.
  • Support Hamburg & Madrid offices, helping ensure consistent operations and employee experience across the region.

EXECUTIVE ADMINISTRATION

  • Provide proactive diary management and scheduling for the EMEA Managing Director.
  • Assist with meeting materials, agendas, briefing notes and follow-up actions.
  • Coordinate internal and external meetings, ensuring logistics are managed effectively.
  • Support with administrative activities where required across the Leadership Team.

EMPLOYEE EXPERIENCE

  • Create a welcoming office environment, ensuring employees and visitors have a positive experience.
  • Coordinate offsites, lunches and employee events, including catering and logistics across EMEA locations.
  • Partner with the People Team on employee engagement initiatives.

PREFERRED KNOWLEDGE, SKILLS & EXPERIENCE:

  • Experience in office management and/or executive administration is essential.
  • Strong organisational and planning skills with exceptional attention to detail.
  • Experience managing multiple priorities and stakeholders simultaneously.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong problem-solving skills and a proactive, solutions-focused mindset.
  • Confidence working independently and taking ownership of operational processes.
  • Super user of Microsoft Office.
