Role Overview
Responsible for turning confirmed projects into fully realised event experiences, this role leads delivery from initial planning through to on-site execution. Working closely with internal teams and external suppliers, you will ensure every project is delivered on brief, on time, and within budget, while maintaining the highest standards of quality and creative intent.
Key Responsibilities
- Project Planning & Coordination
- Translate confirmed jobs from CAM/CRM into clear production plans
- Create moodboards and picking lists for dry hire and creative briefs (up to £10k)
- Build and manage production schedules, deliverables, and communication plans
- Lead project status calls where required to align sales, operations, and logistics
- Create and manage project boards, assigning tasks with clear ownership and deadlines
- Oversee end-to-end event delivery including venue, set design, staging, AV, crew, and guest services
- Ensure delivery aligns with approved creative vision
- Attend site visits, installations, and event days where required
- Troubleshoot issues in real time and maintain quality and flow
- Approve final setup with installation teams
- Prepare and manage budgets, estimates, and reconciliations
- Track expenditure, monitor margins, and report on performance
- Identify efficiencies to improve quality, sustainability, and profitability
- Create invoices and contracts for confirmed jobs
- Track payments, ensure deposits are paid, and chase overdue invoices
- Manage contracts, permits, and compliance documentation
- Ensure procurement orders are complete and include all job details and timings
- Coordinate accommodation and logistics with installation teams
- Work with Warehouse, Installation, and Production Managers to ensure product quality
- Ensure picking lists are approved and actioned (quality checks, builds, procurement)
- Ensure invoices and picking lists are clearly labelled for internal coordination
- Ensure all jobs are accurately tracked (confirmed, provisional, cancelled)
- Maintain up-to-date project management boards and documentation
- Create and manage construction boards for relevant jobs
- Lead client and internal debriefs, identifying improvements
- Oversee post-event content collection for case studies and portfolio use
Essential
- 3+ years experience within events, or related creative industry
- Strong understanding of event production or design project workflows
- Excellent client-facing and communication skills
- Commercially aware with experience managing budgets and margins
- Highly organised with strong attention to detail
- Ability to manage multiple projects simultaneously
