Vista is seeking a high-performing Executive Personal Assistant who thrives in a fast-paced, international business environment to support our Chief Commercial Officer (CCO).
The successful candidate will act as a strategic gatekeeper, schedule coordinator, and travel manager, ensuring the CCO’s time and priorities are managed efficiently and effectively.
Your Responsibilities
Executive Support
- Managing and optimizing the CCO’s complex calendar, including internal and external meetings across multiple time zones.
- Proactively coordinating and confirming appointments, board meetings, client engagements, and internal strategy sessions.
- Preparing and editing correspondence, reports, presentations, and briefing materials.
- Ensuring the CCO is well-prepared for meetings with timely briefings, agendas, and relevant documents.
- Acting as the point of contact between the CCO and internal/external stakeholders, maintaining a professional and approachable demeanor.
- Monitoring of time-sensitive responses and deadlines and progressing of actions.
- Managing confidential personal matters as requested by the CCO.
- Processing expenses, PO’s and dealing with accounting related issues.
International Travel Management
- Planning, coordinating, and managing all aspects of domestic and international travel, including flights, visas, accommodations, ground transport, and itineraries.
- Providing 24/7 support during travel to address unforeseen changes or challenges.
- Ensuring seamless coordination between global time zones and trip logistics.
Administrative & Project Support
- Tracking and following up on action items, meeting notes, and deadlines.
- Assisting with special projects, presentations, and research as delegated by the CCO.
- Liaising with the Commercial team and wider leadership to ensure alignment and information flow.
Required Skills, Qualifications, And Experience
- 5+ years of experience as an Executive Assistant or Personal Assistant, preferably in a global corporate environment.
- Experience managing international travel and high-level executive logistics.
- Exceptional organizational, time management, and multitasking skills.
- Strong written and verbal communication skills; fluent in English (additional languages are a plus).
- Tech-savvy with proficiency in Microsoft Office Suite, Google Workspace, and calendar management tools.
- Highly discreet and professional; able to handle confidential information with integrity.
- Flexible and adaptable with a global mindset—comfortable working across time zones and occasionally outside regular hours.

- Ability to anticipate needs and proactively solve problems.
