Full or Part-Time Office Administrator – Maternity Cover - VisionAid Technologies – Spalding
Are you organised, friendly and comfortable working in a varied office environment?
VisionAid Technologies is looking for an Administrator to provide maternity cover within our friendly office in Spalding.
We’re a family‑run business passionate about providing life‑changing assistive technology to people who are blind, visually impaired, or have additional learning needs such as dyslexia or autism. Our work helps people regain independence, thrive in education, and stay employed – and you’ll play an important part in keeping everything running smoothly.
About the Role
This is a varied, hands‑on administrative role where no two days are quite the same.
You’ll be one of the first friendly voices our customers hear and will support our Sales, Shipping and Support teams with a range of administrative and customer service tasks.
You’ll need to be comfortable switching between tasks and responding to interruptions when needed, while still keeping track of your existing work and maintaining accuracy.
For example, you might be processing a sales order when a customer calls, or working on an invoice when a colleague needs help with an urgent query. Being able to pause, prioritise, deal with what's needed and then return to your original task is an important part of the role.
You’ll receive full training on our systems and processes and will be working alongside a small, supportive team who genuinely care about the work we do.
This is a fixed‑term maternity cover position, expected to last approximately 9–12 months, ending when the post-holder returns from maternity leave.
What You’ll Be Doing
Your day will involve a mixture of administration, customer service and operational support, including:
- Answering customer and supplier calls and emails
- Processing sales orders and quotations
- Taking card payments and sending invoices
- Supporting the Sales Team with administrative tasks
- Supporting the Shipping Team with orders
- Dealing with customer and supplier queries
- Keeping records and information accurate and up to date
The balance of these tasks will vary from day to day, and you'll need to be comfortable adapting to what needs your attention.
What We're Looking For
You'll be someone who enjoys variety, takes pride in getting things right and likes helping others get their jobs done.
You'll need:
- At least 1 year of administration experience, which involves processing sales orders, quotes and invoices
- Excellent written and verbal communication skills
- A polite, friendly telephone manner and strong customer service instincts
- Excellent organisational skills and attention to detail
- Good ability to prioritise and manage your workload
- Confidence using Microsoft Office and/or Google Workspace
- The ability to switch between tasks and manage interruptions without losing track of what you're doing
- The ability to stay calm and accurate when things get busy
- A can‑do attitude and willingness to help wherever needed
- The ability to work well as part of a small team
Experience with SAP Business One or general accounting software would be an advantage, but isn't essential.
What You’ll Get
- 32 days' holiday, including bank holidays
- Monday–Friday between 9:00am–5:30pm
- Casual dress code
- Free on‑site parking
- Tea, coffee, biscuits, fruit and squash
- A friendly and supportive working environment
