Job Summary:
We are seeking a highly skilled and experienced Payroll Manager to work with the payroll coordinator to take full ownership of our payroll function. The successful candidate will be responsible for end-to-end payroll processing from gross to net, ensuring compliance with all statutory regulations. A strong understanding of basic accounting principles, excellent Excel skills, and experience with expenses and benefits administration are essential for this role.
Key Responsibilities:
- Payroll Processing (Gross to Net):
- Oversee the process of the company\’s Monthly payroll accurately and on time for all employees.
- Ensure the calculation and process of all payroll components including salaries, wages, bonuses, overtime, and deductions e.g. tax, National Insurance, student loans, attachment of earnings are accurate and auditable.
- Reconcile payroll data and resolve any discrepancies or queries.
- Ensure the processes for new starters, leavers, and changes to employee records are efficiently and accurately maintained.
- Maintain up-to-date and accurate payroll records.
- Auto-Enrolment & Pensions:
- Administer and manage the company\’s Auto-Enrolment pension scheme.
- Process pension contributions, opt-ins, and opt-outs.
- Liaise with pension providers and ensure timely submission of data and payments.
- Maintain accurate records for pension compliance and auditing.
- Basic Accounting:
- Perform payroll reconciliations with the general ledger.
- Process payroll journals and accruals.
- Assist with month-end and year-end close procedures related to payroll.
- Understand and explain payroll-related accounting entries.
- Expenses and Benefits:
- Administer and process employee expenses in accordance with company policy.
- Manage and track employee benefits (e.g. Relocation, private medical insurance, Company car benefits, etc.) for payroll purposes.
- Ensure P11D and PSA reporting is accurate and submitted on time.
- Manage Payroll Mechanism for Taxing and Reporting of RSUs
- Compliance & Reporting:
- Ensure full compliance with HMRC regulations, PAYE, National Insurance, Statutory Sick Pay (SSP), Statutory Maternity Pay (SMP), etc.
- Managing Compliance with IR35.
- Gender Pay Gap Reporting
- Prepare and submit all statutory payroll reports (e.g., FPS, EPS).
- Stay up-to-date with changes in payroll legislation and ensure the company remains compliant.
- Generate various payroll reports for management and internal stakeholders as required.
- System Management & Data:
- Utilise and maintain the payroll software (Civica People Hub) system effectively.
- Ensure data integrity and confidentiality of all payroll information.
- Stakeholder Management:
- Work with Payroll Coordinator effectively and act as the primary point of contact for all payroll-related queries from employees and management.
- Liaise effectively with HR, Finance, and external providers (HMRC, pension providers etc) .
Skills & Experience:
- Proven experience (minimum 3-5] years) in a dedicated Payroll Manager or Senior Payroll Officer role, with full end-to-end payroll responsibility.
- Demonstrable expertise in managing Auto-Enrolment pension schemes.
- Solid understanding of all aspects of gross to net payroll calculations and deductions.
- Strong working knowledge of basic accounting principles and payroll journal entries.
- Advanced Excel skills are essential ( VLOOKUPs, pivot tables, complex formulas for data manipulation and analysis).
- Experience with expenses and benefits administration and P11D/PSA reporting.
- Up-to-date knowledge of UK payroll legislation and HMRC requirements.
- Experience with Civica payroll software and Workday is highly desirable.
- Excellent attention to detail and accuracy.
- Strong analytical and problem-solving skills.
- Ability to manage multiple priorities and meet tight deadlines.
- Excellent communication and interpersonal skills, with the ability to explain complex payroll matters clearly.
- High level of integrity and ability to handle confidential information discreetly.
