Job Summary
This is a 9‑month fixed‑term contract. As a Facilities Assistant, you’ll play a crucial role in ensuring the smooth day‑to‑day operations of our Data Centre Sites. You’ll support the facilities management team in delivering essential ‘soft’ services to create a safe and welcoming work environment. This is a varied role within a rapidly growing organisation.
Duties And Responsibilities
- Financial Management: Overseeing financial operations using the VIRTUS SAP system, including budget reporting and managing purchase orders and invoices.
- Supplier Coordination: Liaising with suppliers for quotes, orders, deliveries, and resolving any issues related to services, invoicing, and site attendance.
- Facilities Management: Ensuring the cleanliness, safety, and maintenance of the site through regular walkthroughs and coordination with vendors and contractors.
- Administrative Support: Providing comprehensive administrative support to the facilities team, including managing access requests, maintaining records, and handling credit card receipts.
- Inventory and Supplies Management: Managing and maintaining inventory for stationery, first aid kits, health and safety items, branded clothing, PPE, and welfare items.
- Event and Meeting Coordination: Organising and planning events, arranging catering, and ensuring meeting rooms are tidy and well‑stocked.
- Compliance and Documentation: Ensuring up‑to‑date insurances, TV licenses, and asset tagging of white goods are maintained and displayed as required.
- Point of Contact: Serving as the first point of contact for staff reporting facilities issues and requests for uniforms and PPE.
- Miscellaneous Duties: Handling any other reasonable requests made by the line manager or Senior Central Operations Director.
Person Specification
- Experience working in a facilities role is preferred, but not required.
- Strong organisational and administrative skills.
- Ability to work as part of a team.
- Attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritise tasks based on urgency.
- Flexibility to work varying hours and days as needed.
- Some financial experience, background or understanding of PO process is desirable.
- Numerically competent, with previous experience using Excel (including pivot tables, etc.).
Additional Information
This role will be mainly based at our Slough campus, but will require some travel to our Stockley Park campus as required. This role comes with an on‑call element, which will require the post holder to participate in an out‑of‑hours on‑call escalation rota.
