As an Administrator, you will play a pivotal role in supporting the Executive Director and wider Foundation team to support the delivery of the Foundation's Strategy. You will be the first point of contact for the Foundation and perform a variety of complex and confidential duties.
What you’ll be doing:
- Co‑ordination and management of multiple tasks and activities on both an ad hoc and a scheduled basis supporting the Executive Director, wider Foundation team, board of trustees and internal and external stakeholders.
- Deal with competing demands and priorities autonomously and use own initiative to deputise and make decisions in relation to programme activities.
- Deal with the daily flow of internal and external correspondence and communication through the Foundation including but not limited to telephone calls and emails tracking, directing and responding where possible to all correspondence.
- Provide administration for the grants management process including updating records and systems, carrying out due diligence, preparing offer letters and payments and coordinating monitoring returns.
- Provide Finance Administration, including support to the Executive Director for the month‑end process, setting up weekly payments to grant holders, onboarding new suppliers, raising purchase orders and ensuring invoices are receipted in a timely manner, ordering resources and equipment and keeping up‑to‑date financial records.
- Event management, venue booking, issuing invites and tracking attendees, booking travel & accommodation, catering and managing budgets.
- Administer the Foundation's Grants Management system ensuring details are linked and correct, relevant documents attached.
- Minuting meetings and preparing packs for Board and sub‑committee meetings, ensuring packs are accurate and well formatted.
- Alerting the Executive Director to all agreed actions to allow completion in good time.
- Ensure role‑relevant risk controls are managed in line with the Foundation's Risk Management Framework throughout the year.
